About the position

The DME Administrative Assistant at Olympic Pharmacy and Healthcare Services plays a vital role in supporting the operations of the Durable Medical Equipment (DME) repair shop. This position involves managing administrative tasks, ensuring proper documentation, and enhancing customer experiences. The ideal candidate will be detail-oriented, organized, and capable of multitasking in a fast-paced environment, contributing to the overall efficiency of the team.

Responsibilities

  • Answer phone calls in a friendly and professional manner, directing them to the appropriate staff or conveying messages promptly.
  • Greet and assist customers in a courteous and helpful manner, directing them to the right department or personnel.
  • Maintain organized records and files for the DME Repair Manager, including correspondence, work orders, and equipment documentation.
  • Coordinate incoming job orders from various departments, ensuring accuracy and completeness.
  • Input and manage work orders for equipment repairs, verifying warranty repair expenses.
  • Process daily delivery, UPS tickets, and outgoing UPS shipments efficiently.
  • Assist the Respiratory department with the handling of incoming and outgoing oxygen cylinders.
  • Maintain serialized inventory traceability for equipment.
  • Keep the work area clean, organized, and conducive to a safe and efficient working environment.
  • Demonstrate professionalism, courtesy, and patience when interacting with customers and colleagues.
  • Attend workshops, in-services, and training sessions as required to perform job functions.
  • Assist with driver scheduling as needed.
  • Perform any other duties assigned by management to support our team and business objectives.

Requirements

  • High school diploma or GED required.
  • 1+ years of administrative experience, preferably in healthcare or DME.
  • Strong organizational skills and time management abilities.
  • Proficiency in Microsoft Office Suite; HME/DME software experience highly desired.
  • Clear verbal and written communication skills, with customer service experience in a healthcare setting.
  • Skilled in multitasking and adapting to shifting priorities in a fast-paced environment.
  • Customer-focused, maintaining professionalism and confidentiality.

Nice-to-haves

  • Knowledge of insurance providers, coverage, and compliance standards is beneficial.
  • Flexibility for occasional equipment deliveries and setup.
