About the position

Wood is currently seeking a Site Document Controller III to join our team in Anchorage, Alaska. This role is pivotal in managing project and vendor documentation and information across both electronic and hard copy formats. The successful candidate will be responsible for ensuring that all documentation is processed efficiently and accurately, which is essential for the smooth operation of our projects. The position requires a strong understanding of various types of engineering documentation and the ability to maintain meticulous records in compliance with industry standards. In this role, you will receive, process, monitor, and expedite the internal and external distribution of project documentation files. This includes technical data, engineering and supplier drawings, technical specifications, purchase orders, and other project-related documents. You will also be tasked with creating, updating, and maintaining the project document control record-keeping system and related databases. Your attention to detail will be crucial as you prepare transmittals and ensure that all data is distributed as directed. Additionally, you will conduct internal quality checks of documents to ensure that all metadata is complete and accurate. Your responsibilities will extend to project startup/setup, compilation of data books, handover processes, project closeout, and archiving. You will prepare project-specific Master Document Registers, procedures, instructions, and forms, and process engineering and supplier documentation. A key aspect of this role is distinguishing between different types of engineering documentation and understanding their specific requirements.

Responsibilities

  • Receive, process, monitor and expedite internal and external distribution of project documentation files consisting of technical data, engineering and supplier drawings, technical specifications, purchase orders and other project related documents
  • Create, update and maintain project document control record keeping system and project related databases
  • Prepare transmittals and distribute data as directed
  • Internal quality check of documents and ensure metadata is complete and accurate
  • Project startup/setup, compilation of data books, handover, project closeout and archiving
  • Preparing project specific Master Document Registers, procedures, instructions, and forms
  • Processing engineering and supplier documentation
  • Distinguish between different types of engineering documentation

Requirements

  • 3 years of experience in Document Control (preferably Site/Field experience)
  • 2 years of Industry related experience (Engineering, Procurement & Construction)
  • High School Diploma or GED
  • Familiarity with engineering project document types and associated requirements
  • Basic knowledge of Electronic Document Management System and project related databases
  • Basic knowledge of ISO 90001
  • Proficient in MS Office software
  • Ability to gather and prepare Engineering information in the required format for handover to the client's system
  • Ability to provide tag to document relationship metadata
  • Ability to resolve routine problems and questions independently
  • Effective oral and written communication skills with good vocabulary, good grammar and the ability to independently compose written communications
  • Ability to handle tasks simultaneously and to work effectively with interruptions
  • Good organizational and time management skills and ability to meet deadlines
