About the position

The Document Controller is responsible for maintaining organized and updated documents for the company, ensuring timely processing of project deliverables between the company, clients, and vendors. This role involves managing correspondence, verifying project documents for compliance, and overseeing the Master Document List. The Document Controller also provides guidance to stakeholders, supports project teams, and ensures that documentation meets contract requirements.

Responsibilities

  • Maintain organized and updated documents for the company.
  • Process all project deliverables in a timely manner between the company, client, and vendors.
  • Manage the flow of correspondence in and out of the company through proper transmittals.
  • Ensure outgoing documents are accurate and comply with company standards and policies.
  • Route correspondence to correct associates and protect confidential information.
  • Review and verify project documents for completeness and compliance with contract requirements.
  • Submit project documentation to management for approval and transmit approved documents to customers.
  • Distribute documentation to the project team and customers for review and comments.
  • Manage Governance level 1-2 projects independently according to applicable standards and procedures.
  • Own the Master Document List (MDL/MDR) consisting of all project-related documents.
  • Examine project documents to verify completeness and accuracy of data.
  • Guide internal/external stakeholders on project and contract requirements.
  • Set up and maintain data in the Electronic Document Management System Content Server 21.2 & MS Teams.
  • Work with the project team in preparation of Project Final Documentation or Dossiers.
  • Monitor the status of project documentation according to schedule and follow up for timely delivery.
  • Attend project progress review meetings.
  • Train and support project participants on document control tools.
  • Support in training new recruits and junior staff.
  • Identify documentation gaps and follow up with internal teams, vendors, and clients.
  • Participate in project meetings and provide documentation status and progress updates.
  • Work closely with Project Engineering to amend the master document list as required.
  • Communicate and collaborate with project managers.
  • Read project specifications to identify system compliance with contract requirements.

Requirements

  • Proficient in English; additional languages are a bonus.
  • High school diploma or equivalent educational proficiency.
  • 2 years of experience in project document control.
  • Good command of MS Excel is a must.
