About the position

As a Document Scanner Clerk at SCI Shared Resources, LLC, you will play a crucial role in maintaining the integrity and organization of our documentation processes. Your primary responsibilities will include reviewing property records, legal documents, and various other records to ensure they are accurately located within our electronic systems. You will be tasked with identifying and sorting a variety of records based on established criteria, which is essential for maintaining an efficient workflow. In this role, you will operate scanners to scan and upload document images into our database, ensuring that all files are readable and accurately named. You will also be responsible for tracking your progress in a spreadsheet, auditing files against this spreadsheet, and communicating any issues that arise to your team and management. This position requires a high level of attention to detail, as you will be performing heavily detailed work with accuracy and efficiency on a daily basis. Maintaining professionalism while interacting with team members, location staff, and other organizational groups is also a key aspect of this role. Your responsibilities will extend to reviewing contracts, property records, order forms, and other paperwork to determine their correlation. You will need to navigate our database to locate documents based on the available paperwork and ensure that all scanned documents are uploaded correctly. Additionally, you will identify personal or sensitive information and ensure it is shredded according to company policy. Recognizing discrepancies between records, file names, and spreadsheets will be essential, and you will need to communicate these discrepancies to your team and management promptly. You will also be required to physically retrieve and relocate records from various locations, such as vaults, shelves, file cabinets, attics, and basements, as needed to perform your tasks. Quality reviews of scans and uploads will be part of your daily routine, and you will manage your workload while providing summary reports to management when necessary. Working closely with group leadership to complete high-priority projects and interacting with other corporate departments to manage data flow and deadlines will be expected. Finally, you will need to adapt to changing work requirements and environments as necessary, identifying opportunities to streamline tasks associated with your daily work functions.

Responsibilities

  • Review contracts, property records, order forms and other paperwork to determine correlation.
  • Sort paperwork according to established rules and criteria.
  • Navigate database in order to find document locations based on available paperwork.
  • Scan and/or upload documents into database, ensuring readability and accurate file names.
  • Track scans in Excel spreadsheet, confirming contents of file align with information in spreadsheet.
  • Identify personal/sensitive information and shred according to company policy.
  • Recognize discrepancies between records, file names, spreadsheets and communicate to team and management in a timely fashion.
  • Physically retrieve/relocate records from various locations (vaults, shelves, file cabinets, attics, basements, etc.) to perform tasks as needed.

Requirements

  • High school diploma or equivalent.
  • Preferred experience of 2 years in an area requiring strong attention to detail (e.g., experience auditing contracts and financial records).
  • Problem solving abilities.
  • Proficiency in Microsoft Word, Excel and Outlook.
  • Highly detail-oriented with a careful eye for quality control and presentation of work.
  • Self-motivated and driven to produce results within tight deadlines and with maximum quality within allowed time constraints.
  • Verbal communication skills; ability to articulate project status as needed.
