In this role, you will perform a variety of document control functions that are essential for the success of a project or department, directly supporting the project or program manager. Your responsibilities will include coordinating the flow of documents between various teams, including project operations, engineering disciplines, and construction teams. You may be tasked with managing a small-sized project or handling multiple aspects of a larger project or program. A solid understanding of document control processes and the electronic systems used to manage documentation is crucial for this position. Under general supervision, you will engage in various clerical and technical tasks that support project objectives. This includes maintaining established files for project document retention, working closely with field staff to obtain and review daily and weekly reports for accuracy, and ensuring these reports are sent to the appropriate contacts. You will assist in updating manuals, engineering documentation, and submittals for your assigned project, as well as reviewing project documents such as drawings, specifications, and technical manuals. Additionally, you will assemble Request For Offer (RFO) packages for solicitation and support the Project Manager and Subcontracts Administrator in the subcontracting process. Your role will also involve coordinating project requirements with various stakeholders, updating project schedule documents, and managing the flow of documentation during construction and installation projects. This includes handling submittals, Requests For Information (RFI), and Change Order Requests (CORs). Effective communication with project stakeholders regarding action items and due dates is essential, as is assisting in project closeout activities when necessary. You will also be responsible for populating and maintaining an online electronic storage repository for assigned projects, ensuring that field staff can access the necessary information. As a team player, you will contribute to a deadline-driven environment and work collaboratively with others. Travel to project sites and offices across the continental United States and its territories for site surveys and technical meetings will be required.
