About the position

The Dojo Ops Coordinator at iSoftTek Solutions Inc. plays a crucial role in enhancing the Dojo Hangar experience, a collaborative space designed for teams to receive coaching, learn innovative working methods, and develop their design thinking and product mindset. This position is pivotal in bringing together product leaders, engineers, airport staff, and customers to build customer-centric capabilities while simultaneously improving operational efficiency. The coordinator will be responsible for managing the Dojo experience, ensuring that both teams and coaches have the necessary resources and support to succeed. This includes organizing and simplifying information for easy consumption, maintaining a funnel of upcoming teams, and scheduling events to prepare teams for their immersive engagement in the Hangar. The coordinator will track the progress of teams during their Hangar cycle, making schedules visible and monitoring their advancement towards measurable goals. They will also be responsible for collecting training feedback and tool usage metrics to assist coaches in making informed strategic decisions. Additionally, the role involves maintaining training attendance and certification statuses for design thinking training, onboarding new Dojo staff members, and guiding teams through each phase of the Dojo Journey to ensure a consistent and excellent experience. In terms of marketing, the coordinator will own the marketing efforts for the Dojo, which includes creating promotional materials, managing workshop supplies, and maintaining swag inventory. The position requires a proactive approach to resolving issues and addressing impediments within the Focus Relentlessly work stream, working closely with Dojo Leads and the Director to plan and prioritize engagements. Effective communication with stakeholders regarding scheduling, constraints, and successes is essential, as is the ability to coordinate hybrid experiences that blend in-person and remote participation.

Responsibilities

  • Continuously improve the Dojo experience for both teams and coaches by refining processes, templates, and ceremonies.
  • Organize and simplify information for easy consumption by teams and coaches.
  • Ensure coaches have the necessary resources for success, including next steps, team statuses, and access to documents.
  • Maintain a funnel of upcoming teams for practice and schedule events for team intake and discovery.
  • Track teams during the Hangar cycle, including scheduling, progress towards goals, and visibility of key events.
  • Monitor training feedback and tool usage metrics to assist coaches in strategic decision-making.
  • Maintain training attendance and certification status for design thinking training.
  • Assist in onboarding new Dojo staff members, including access requests and badge management.
  • Guide teams through each phase of the Dojo Journey to ensure a consistent and excellent experience.
  • Manage various artifacts of team data, including Mural and SharePoint contributions.
  • Contribute to the Dojo Portal by managing content, labs, PRs, and reviews.
  • Own marketing efforts for the Dojo, including swag, logo, and promotional videos.
  • Create, order, and maintain workshop/training supplies and swag inventory.

Requirements

  • Minimum of 3 years of experience working closely with product teams coordinating and organizing events.
  • At least 1 year of professional experience in large enterprises or highly matrixed organizations in applied design thinking, product management, or technical roles.
  • Familiarity with internal operations or event planning and marketing.

  • Experience in aligning priorities with overall business goals and product strategies for product leaders and senior leaders.
  • Proven experience in building relationships with senior leaders across the organization to influence and inspire change.
