About the position

The University of California, Irvine (UCI) is seeking a Business Operations Manager for the Department of Medicine, who will report directly to the Chief Financial Officer. This position is crucial for overseeing the daily operations of the central Finance Office, which manages a substantial budget exceeding $52 million annually across 11 subdivisions and more than 300 employees. The Business Operations Manager will be an integral part of the Department Senior Management team, collaborating closely with the Department Chair, Chief Administrative Officer (CAO), Chief Financial Officer (CFO), and Medical Service Officers (MSOs) to develop and implement strategies that enhance the efficiency and effectiveness of business operations within the department. The incumbent will be responsible for developing and recommending changes to departmental policies, procedures, and guidelines that govern the processing of financial transactions. This role requires a strong understanding of financial management, including budget preparation, fiscal planning, and compliance with university accounting policies. The Business Operations Manager will also be tasked with collecting and analyzing data to inform decision-making and will need to demonstrate the ability to interpret complex financial information and summarize it effectively for various stakeholders. In addition to financial oversight, the Business Operations Manager will need to exercise discretion and maintain confidentiality regarding sensitive financial and personnel matters. The ability to organize, prioritize, and manage a complex workload in a dynamic environment is essential. The role also involves auditing documents to ensure compliance with established policies and procedures, as well as developing new procedures for policy implementation as necessary.

Responsibilities

  • Oversee daily operations of the central Finance Office in the Department of Medicine.
  • Develop and recommend changes to departmental policies, procedures, and guidelines for financial transactions.
  • Collaborate with senior management to implement strategies for efficient business operations.
  • Collect and analyze financial data to support decision-making processes.
  • Interpret and summarize complex financial information and reports related to budget development and fiscal planning.

Requirements

  • Bachelor's degree in business or a related field or equivalent experience.
  • Working knowledge of Microsoft Office applications.
  • Demonstrated experience with UC accounting, purchasing, and equipment management policies.
  • Ability to exercise discretion and confidentiality regarding financial and personnel matters.
  • Strong analytical skills to collect and analyze data effectively.
  • Ability to interpret and apply policies and procedures from various entities.
  • Experience in budget preparation and financial analysis.
  • Knowledge of School of Medicine and faculty salary compensation processes.
