About the position

The Donor Database Administrator will play a crucial role in managing and optimizing the donor database for a non-profit organization dedicated to providing services for seniors in Southern California. This position involves utilizing the eTapestry web-based donor software to effectively track, manage, and report on donor data. The administrator will be responsible for ensuring that all incoming gifts are accurately recorded in the database, generating timely thank you letters signed by the CEO, and supporting the execution of various fundraising events and programs. Additionally, the role includes assisting in the development and implementation of communication strategies aimed at increasing the organization's visibility and engagement with the community. In this position, the administrator will collaborate closely with the Event/Campaign Manager and the Director of Development to support various software applications and marketing campaigns. This includes managing email communications, coordinating web content for the Development Department, and providing database management and reporting. The role requires a strong understanding of social media platforms and web analytics, as well as excellent writing and editing skills to ensure effective communication with donors, volunteers, and the public. The Donor Database Administrator will also be expected to handle multiple projects simultaneously while continuously seeking process improvements to enhance the efficiency of the organization’s operations.

Responsibilities

  • Manage the Council's eTapestry web-based donor software database, including data entry and report generation.
  • Track incoming gifts, enter gifts in the database, and generate thank you letters with the CEO's signature in a timely manner.
  • Assist in planning and implementing the Council's communications plan for email campaigns, individual donor programs, and special events.
  • Support the management of email communication creation, distribution, delivery, and reporting.
  • Assist the Event/Campaign Manager with various software applications, including Smarter Entry, Greater Giving, Stripe, Bonterra, and others as needed.
  • Help develop and implement marketing campaigns to promote Council programs, events, volunteer recruitment, and products through platforms like Facebook, Constant Contact, and Instagram.
  • Support the Director of Development in the preparation, coordination, and execution of the SmileMakers Program, including the Holiday Gift Project, Valentine's Day Card, and Centennial Smiles.
  • Provide donor database management, updates, and selected reports utilizing eTapestry software.
  • Respond to web and email inquiries from potential volunteers, donors, and other interested parties.
  • Assist in proofreading and editing copy for various e-communications, including website content, e-newsletters, press releases, and volunteer recruitment materials.
  • Coordinate the execution of website content for the Development Department, including volunteer orientation, event volunteer recruitment, online contributions, and program outreach.
  • Provide database and/or list management in eTapestry and Constant Contact for the entire agency.
  • Perform other duties as assigned by the Director of Development & Community Relations.

Requirements

  • Degree in a related field (years of experience may substitute for degree).
  • Knowledge of web-based donor and communications software (e.g., Blackbaud, eTapestry, Constant Contact, Smarter Entry) is a plus.
  • Demonstrated skills in social media (Facebook, Instagram, Constant Contact, Blogging) and website databases.
  • Strong analytic skills with the ability to extract and interpret data from various sources and an understanding of web analytics.
  • Excellent writing and editing skills.
  • Passion for social media and mastery of online social marketing tools.
  • Computer literacy with competency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and InDesign.
  • Excellent time management and organizational skills.
  • Ability to handle multiple projects simultaneously and continuously seek process improvements.
  • Ability to work effectively with people in a variety of situations.
  • Knowledge of and experience in current office practices.
