About the position

The Donor Database Administrator is responsible for managing the organization's donor database, ensuring accurate entry and coding of donations, and generating acknowledgment letters. This role plays a key part in overseeing direct mail campaigns and supports various fundraising events. The administrator will also conduct monthly reconciliations of development and finance records, produce reports, and provide database training to staff.

Responsibilities

  • Manage the organization's donor database, including entry of all gifts and generation of acknowledgment letters.
  • Oversee direct mail campaigns for individual donors and support research, cultivation, and stewardship of major gift donors.
  • Support special events, including registration, online giving, and auction support.
  • Ensure accurate entry and gift coding for all donations, including checks, credit cards, and stock gifts.
  • Generate and proofread thank you letters and tax receipts for all gifts within 2 business days.
  • Conduct monthly reconciliation of development and finance records and provide reports to the VP of Development.
  • Run monthly Development Revenue vs Goal Dashboard for budget revenue line items.
  • Produce standard and custom reports, labels, and mail merges.
  • Provide database training for BGCH staff.
  • Play a lead role in achieving annual direct mail financial goals through direct mail campaigns.
  • Coordinate mail processing with BGCH's direct mail vendor.
  • Conduct donor and grant research and create donor profile reports for major gift prospects.
  • Assist in creating and maintaining standard stewardship calendars for leadership society and major gift donors.
  • Support the planning and execution of annual donor cultivation events.

Requirements

  • High school diploma or GED
  • At least 3 years of experience in donor database management and resource development
  • Computer proficiency including Microsoft Office products
  • Proven track record of setting priorities and meeting deadlines
  • Self-starter, able to work both independently and collaboratively
  • Strong project and time management skills
  • Excellent research skills
  • Strong attention to detail
  • Experience in a nonprofit or advocacy organization preferred
  • Cultural competency; proven ability to communicate with diverse audiences
  • Flexibility, patience, and willingness to learn new skills
  • Knowledge and experience in Finance and Accounting a plus
