About the position

As a Donor Database Administrator at Downtown Women's Center (DWC), you will play a crucial role in the development team, focusing on the management and integrity of donor data. This position requires a strong understanding of the importance of accurate and detailed data in nonprofit fundraising, as well as a commitment to using technology effectively to enhance operations. You will be responsible for processing financial gifts, managing donor acknowledgments, and ensuring compliance with IRS standards. Your role will involve working closely with development staff to produce timely and accurate reports, manage donor relationships, and maintain the donor database. You will also be tasked with training staff and volunteers on database processes, ensuring data quality, and implementing best practices in data management. This position reports directly to the Director of Individual Giving and is integral to the success of DWC's fundraising efforts.

Responsibilities

  • Manage processing of all financial gifts and assist in valuation and recordkeeping of in-kind donations.
  • Enter gifts into the CRM database with appropriate coding and donor information, troubleshooting and soliciting team input when needed.
  • Produce accurate and timely gift acknowledgments and tax receipts, including customized donor acknowledgment letters and year-end statements in compliance with IRS standards.
  • Batch and report all donations to the finance staff on a timely basis, managing the weekly and monthly reconciliation process.
  • Monitor giving and payment processing platforms such as Benevity, PayPal, Give Butter, and Stripe, facilitating fund transfers and providing necessary documentation.
  • Manage donor database user roles, permissions, and group settings across the organization.
  • Maintain data quality and integrity by creating and implementing processes and performing regular database de-duping, validations, and cleanup procedures.
  • Produce accurate queries, reports, and lists needed by development staff and CEO, including campaigns, events, and donor trends.
  • Communicate proactively with the Chief Development Officer and development staff about donor feedback, trends, and daily operations.
  • Assist with coordinating the production of mailing lists for campaign appeals and event invitations.

Requirements

  • Minimum 3 years of experience in data management, with nonprofit fundraising experience preferred.
  • Minimum 2 years of experience working in a database system.
  • High School diploma or GED required; a Bachelor's degree is a plus.
  • Proficiency in Microsoft Excel is required.
  • Knowledge of donor database systems, preferably Bloomerang.
  • Strong ability to identify user needs and find solutions, translating technical matters into everyday language.
  • Excellent attention to detail and highly organized self-starter with the ability to produce high-volume, high-quality data.
  • Ability to take initiative, manage multiple priorities, and meet goals and deadlines.
  • Strong multitasking and problem-solving skills, maintaining composure in a fast-paced environment.
  • Compassion and understanding of the Center's unique approach to service provision.

Nice-to-haves

  • Experience with data analysis and reporting tools.
  • Familiarity with IRS regulations regarding nonprofit fundraising and donor acknowledgments.
