About the position

The Donor Database Manager is a pivotal role within the Philanthropy Team at Insight Housing, located in Berkeley, CA. This position is designed to support the Chief Philanthropy Officer (CPO) in the effective identification, cultivation, solicitation, and stewardship of donors. The primary responsibility of the Donor Database Manager is to oversee the donor and volunteer database, ensuring accurate data entry, monitoring data health, supporting integrations, and developing dashboards and reports. This role requires a commitment to maintaining the highest level of data integrity and security while providing excellent customer service to both internal and external stakeholders. In this role, the Donor Database Manager will independently manage all aspects of the donor and volunteer database, specifically Salesforce NPSP. This includes processing and recording donations, performing regular data entry and cleanup tasks, and ensuring that donor preferences and special requests are accurately recorded. The manager will also support prospect research and wealth screening efforts, maintain records of foundation and corporate grants, and optimize database processes by suggesting improvements and implementing streamlined workflows. Additionally, the manager will serve as the primary point of contact for database-related inquiries and troubleshooting, ensuring compliance with data protection and privacy regulations. The position also involves generating reports and data analyses related to fundraising and volunteer activities, collaborating with team members to identify donor prospects, and providing visual representations of data for internal and external reporting. The Donor Database Manager will coordinate personalized donor acknowledgments, respond to inquiries, and support data-driven campaigns. Furthermore, the role includes managing vendor contracts for Salesforce and its integrated applications, training team members on database usage, and participating in meetings and trainings as assigned. This position requires a commitment to the mission of Insight Housing, which focuses on providing housing and support services to individuals experiencing homelessness and related challenges.

Responsibilities

  • Independently manage all front- and back-end elements of the donor and volunteer database (Salesforce NPSP).
  • Accurately process and record donations; provide timely acknowledgment of gifts.
  • Perform regular data entry and clean up tasks, ensuring accurate, unduplicated, and comprehensive records of donor and volunteer information, gifts, and interactions.
  • Ensure donor preferences and special requests are recorded and retrievable.
  • Support prospect research and wealth screening efforts.
  • Help maintain foundation and corporate records such as grant deadlines, deliverables, and customized acknowledgements.
  • Optimize the database, suggesting process improvements and implementing streamlined workflows.
  • Ensure functionality of integrated apps and add-ons (ex: HubSpot).
  • Build, maintain, and troubleshoot workflow automations.
  • Conduct regular data hygiene and quality checks to ensure data integrity and adherence to data protection and privacy regulations.
  • Generate regular reports and data analyses of fundraising and volunteer activities, donor trends, and campaign performance.
  • Develop dashboards to support specific fundraising goals and proactively monitor accuracy of information.
  • Coordinate and execute timely and personalized donor acknowledgments, including thank-you letters, tax receipts, and other forms of recognition.
  • Respond to general donor inquiries.
  • Support data-driven campaigns, ranging from providing analytics to segmented mailing lists.
  • Actively develop improved database processes and workflow automations to support team activities such as major gifts, events, volunteer coordination, and institutional giving.

Requirements

  • Bachelor's degree in data science, engineering, or equivalent combination of education, training, and experience.
  • 5+ years database management experience and a minimum of 2 years with Salesforce.
  • Salesforce NPSP experience is highly preferred.
  • Expert-level proficiency in Microsoft Excel or a similar data editing and visualization tool.
  • Highly analytical and organized, with impeccable attention to detail.
  • Excellent verbal and written communication skills, along with the ability to communicate complex technical matters effectively.
  • Ability to prioritize and apply critical thinking to manage multiple tasks and projects with a commitment to accuracy and meeting deadlines.
  • Ability to interact in a supportive and professional manner with staff and clients of diverse cultural and economic backgrounds.
