About the position

The Operations Manager A - SES position at the Department of State involves overseeing the Document Imaging/Validation work unit, which includes managing the mailroom, fiscal validation, and scanning operations. The role requires ensuring compliance with Florida's Public Records law and involves planning, directing, and organizing workloads while motivating and training employees to meet quality and quantity work requirements.

Responsibilities

  • Administer and direct activities of the Document Imaging/Validation work unit.
  • Maintain Retention Schedules for records as required by Florida's Public Records law.
  • Plan, direct, organize, and administer workloads, workflow, deadlines, and work objectives for employees.
  • Motivate employees to ensure quality and quantity of work requirements are met.
  • Train, communicate with, and evaluate employees to ensure progress of work.
  • Review work and handle complex problems associated with the work unit.
  • Monitor follow-up action on corrective measures implemented.
  • Recommend hiring, rewarding, disciplining, and discharging employees in the section.
  • Oversee all administrative functions of the section.
  • Recommend and draft proposed revisions to procedures, administrative rules, and statutes affecting the work of the section.
  • Perform other work-related duties as required.

Requirements

  • Bachelor's degree from an accredited college or university or equivalent administrative or clerical experience.
  • Three years of experience in filing documents in accordance with specified chapters, with two years at a supervisory level.

Nice-to-haves

  • Knowledge of the fiscal, validation, and scanning process.
  • Knowledge of the routing procedure for all the Division's mail.
  • Knowledge of in-house annual report processing.
  • Knowledge of Florida Public Records Law.
