About the position

The DSHS DDA Administrative Assistant 5 position is a full-time role within the Washington State Department of Social and Health Services' Developmental Disabilities Administration. This role primarily provides executive-level administrative support in the Fircrest Superintendent's Office, located in Shoreline, WA. The position involves managing various administrative tasks, facilitating public disclosure requests, overseeing facility contracts, and supporting hiring and recruitment functions. The ideal candidate will be detail-oriented, possess strong communication skills, and be able to manage multiple projects in a dynamic environment.

Responsibilities

  • Facilitating Public Disclosure Requests
  • Managing all facility contracts
  • Managing background checks and fingerprint checks as necessary
  • Managing all state-issued mobile phones
  • Facilitating all hiring and recruitment functions for the Superintendent's Office
  • Performing all clerical functions for the Superintendent's Office

Requirements

  • One year working as an Administrative Assistant 4
  • Two years working as an Administrative Assistant 3
  • A bachelor's degree in business administration, public administration, or a related field with at least three years of administrative or supervisory experience
  • Ability to manage facility Public Disclosure Requests in a timely manner
  • Ability to become a certified notary within specified timelines
  • A working knowledge of state government organization, administrative procedures, office procedures, research methods, data collection, and agency functional/personnel policies
  • Ability to communicate and comprehend through oral and written forms of communication
  • Ability to follow oral and written directives and instructions
  • Ability to compose professionally cogent and grammatically correct letters
  • Ability to resolve conflicts or complaints between persons and groups
  • Ability to de-escalate and diffuse potential crisis situations
  • Skill and ability to use computers and Microsoft Office effectively
  • Ability to maintain confidentiality of personnel and other sensitive information
  • Ability to prioritize and manage multiple simultaneous projects

  • Experience with office organization, methods, and management principles
  • Ability to maintain a heavy workload and shift priorities as needed
  • Ability to demonstrate courtesy, respect, and honesty toward co-workers and clients
  • Ability to organize files (electronic and print) and retrieve information when necessary
