About the position

Informa is seeking an exceptional and experienced Executive Assistant to provide comprehensive support to the CEO and select members of the leadership team. This position is based in Boston and offers a hybrid working arrangement, allowing for flexibility in work location. The ideal candidate will possess outstanding organizational skills and the ability to multitask effectively in a fast-paced environment. This role is designed for someone who thrives on challenges and is comfortable navigating change. The Executive Assistant will be expected to work both collaboratively as part of a team and independently, demonstrating initiative and confidence in managing a diverse range of tasks and interactions. The responsibilities of the Executive Assistant will include managing schedules, coordinating meetings, and ensuring that the CEO and leadership team are well-prepared for their engagements. The successful candidate will need to exhibit strong interpersonal skills, as they will be liaising with various stakeholders and enhancing relationships across the organization. Attention to detail and a high standard of accuracy are crucial, as the role involves handling confidential information and producing high-quality work under pressure. In addition to traditional administrative duties, the Executive Assistant will be expected to utilize advanced proficiency in Microsoft Office 365 and SharePoint, as well as virtual meeting tools like Teams. Proficiency in Microsoft Excel and PowerPoint is also required to assist in data gathering and presentation preparation. Familiarity with project tracking tools such as Wrike, Smartsheet, or Monday.com is preferred, as the role may involve tracking project progress and deadlines. Note-taking skills will also be essential for capturing key information during meetings and discussions.

Responsibilities

  • Provide comprehensive administrative support to the CEO and leadership team.
  • Manage and coordinate schedules, meetings, and travel arrangements.
  • Prepare and organize materials for meetings and presentations.
  • Maintain confidentiality of sensitive information and documents.
  • Utilize Microsoft Office 365 and SharePoint for document management and communication.
  • Assist in gathering data and creating basic presentation materials using Microsoft Excel and PowerPoint.
  • Liaise with various stakeholders to enhance relationships and achieve work goals.
  • Track project progress using tools like Wrike, Smartsheet, or Monday.com.
  • Take notes during meetings and ensure follow-up on action items.

Requirements

  • Previous experience supporting senior individuals within a large organization.
