About the position

The ED Registrar is responsible for managing the pre-admission and admission processes for patients entering the emergency department, ensuring efficiency and accuracy. This role emphasizes polished communication skills and a patient-centered approach, handling urgent situations with care to provide a smooth experience for all patients.

Responsibilities

  • Complete the initial patient intake promptly, excluding financial information.
  • Accurately gather and enter patient financial and personal demographics into the computer system.
  • Verify and document insurance benefits and coverage, obtaining required authorizations as necessary.
  • Collect patient co-pays, deductibles, and out-of-pocket estimates according to hospital policies.
  • Maintain accurate and confidential patient records, ensuring compliance with hospital policies and legal requirements.
  • Complete the intake and registration process for patients arriving by ambulance or other emergency transport.
  • Obtain and manage appropriate forms to maintain Joint Commission compliance.
  • Communicate effectively with patients, physicians, and hospital personnel.
  • Oversee the waiting area to ensure a positive patient experience and address concerns.
  • Collaborate with medical staff to facilitate smooth patient flow through the emergency department.
  • Handle high-pressure situations with composure, providing support during emergencies.
  • Address and resolve patient inquiries and complaints promptly.
  • Cross-train in other registration positions and assist in improving patient care.
  • Provide training and guidance to new hires on registration procedures and policies.
  • Be prepared to respond to various emergency situations and adjust procedures as necessary.
  • Ensure all patient information is handled with confidentiality and complies with HIPAA regulations.
  • Follow established emergency protocols and assist with disaster drills as needed.
  • Monitor and maintain the accuracy and security of patient data in the EHR system.
  • Provide clear explanations to patients and families about the registration process and follow-up actions.
  • Demonstrate cultural sensitivity when interacting with patients from diverse backgrounds.
  • Participate in ongoing training and professional development opportunities.
  • Utilize various technologies and tools effectively, including patient management systems.
  • Engage in quality improvement initiatives to enhance patient satisfaction and operational efficiency.
  • Accurately process admissions for patients, ensuring all necessary documentation is completed.
  • Verify and initial Veterans Affairs (VA) authorizations as required.
  • Assist with providing patients with discharge instructions and ensure understanding of follow-up care.
  • Offer support to patients in navigating the healthcare system and scheduling follow-up appointments.
  • Collect and document patient feedback and report issues to improve service quality.
  • Ensure adherence to safety protocols and infection control practices.
  • Answer phone calls from nursing units promptly and professionally.

Requirements

  • High School Diploma or GED required.
  • 1-2 years of experience in a healthcare setting preferred.
  • Experience in a customer-facing role with strong interpersonal skills.
  • Certification from a recognized professional organization may be preferred, such as Certified Healthcare Access Associate (CHAA) or Certified Revenue Cycle Specialist (CRCR).
  • Excellent verbal and written communication skills.
  • Proficient with electronic health record (EHR) systems and healthcare software; familiarity with medical terminology is a plus.
  • High level of accuracy in data entry and handling patient information.
  • Strong organizational skills to manage multiple tasks efficiently.
  • Ability to address and resolve patient concerns effectively.
  • Understanding of insurance verification processes.

Nice-to-haves

  • Experience in a healthcare setting is preferred.
