About the position

The Educational Program Coordinator, P3 position at the University of Connecticut is a full-time role that provides essential programmatic support under the limited supervision of the Senior Associate Dean for Research and Scholarship (SADRS). This position is integral to the operations of the School and involves a variety of confidential administrative and support activities for educational offerings. The coordinator will work closely with the SADRS, the PhD Director, the Director of the Biobehavioral Health Lab, and the DeLuca Foundation Visiting Professor in Innovations and New Knowledge, ensuring that all administrative functions are executed efficiently and effectively. The role requires a high level of collaboration with diverse individuals, including faculty, staff, students, and external partners. The coordinator will assist in managing the daily operations of the SADRS and the Director of Innovation, which includes calendar management, scheduling meetings, preparing materials, and handling communications. A significant aspect of the job involves coordinating administrative support for the PhD program, monitoring student progress, and compiling data for program evaluation. The coordinator will also be responsible for planning and promoting research meetings, conferences, and other events, ensuring that all logistical details are managed. In addition to administrative duties, the coordinator will play a key role in supporting doctoral students with their research and scholarship activities, including grant submissions and publication processes. The position also involves supervising and training student workers, managing funding opportunities, and developing content for social media and the university's website. Overall, this role is vital for fostering collaboration and supporting the academic objectives of the School, contributing to the continuous improvement of educational programs.

Responsibilities

  • Assists the Senior Associate Dean for Research and Scholarship with administrative and organizational matters related to School and Innovation programs.
  • Provides calendar management, schedules meetings, prepares materials, and manages the Associate Dean's travel and communications.
  • Coordinates all aspects of administrative support for the PhD program, including processing paperwork and maintaining records.
  • Monitors and reports on the progression of PhD students from matriculation through graduation.
  • Compiles data and prepares reports to aid in evaluating student progress and program effectiveness.
  • Manages the day-to-day administrative operations of the PhD program and coordinates meetings and conferences.
  • Supports doctoral students with publication of defenses and abstracts, and assists with research grant submissions.
  • Monitors funding opportunities and disseminates information to faculty and students.
  • Develops social media and website content for publicity purposes.
  • Supervises and trains students and work-study labor engaged in office and event support functions.

Requirements

  • Bachelor's degree in English, Communication, Management, or a related field.
  • Three to five years of experience in office administration and program management.
  • Demonstrated experience exercising discretion and judgment in managing confidential matters.
  • Excellent written and oral communication skills, organizational skills, and attention to detail.
  • Ability to independently resolve problems and exercise judgment regarding administrative details.
  • Experience in scheduling, organizing, and managing events.

Nice-to-haves

  • Master's degree.
  • Five or more years of administrative experience.
  • Experience with program administration in higher education or a similar environment.
  • One year or more experience in an office with direct student contact.
  • Experience using Microsoft Access and proficiency with Word, Excel, PowerPoint, and Outlook.
