About the position

The Administrative Specialist IV position at Lawrence Livermore National Laboratory (LLNL) involves providing advanced administrative support within the Enterprise Infrastructure Services (EIS) Division. The role requires managing complex calendars, coordinating activities, and compiling data for reports and presentations. The specialist will also assist with hiring processes, travel arrangements, and organizational policies, all while working in a dynamic environment that demands strong organizational and communication skills.

Responsibilities

  • Provide advanced administrative support to the Division Leader, Deputy Division Leader, and Group Leaders.
  • Manage complex calendars and determine scheduling priorities for management.
  • Represent management in daily matters and coordinate activities.
  • Compile data from multiple sources for complex reports and presentations.
  • Develop and implement spreadsheets and tracking systems for action items.
  • Coordinate internal and external interviews, including preparation of agendas and schedules.
  • Assist with the hiring process, including preparing job postings and tracking applicants.
  • Arrange complex domestic and foreign travel and itineraries for personnel.
  • Serve as a resource for organizational policies and procedures.
  • Assist with organizing employee events, workshops, and conferences.

Requirements

  • Ability to obtain and maintain a US DOE Q-level security clearance.
  • Advanced secretarial and administrative knowledge and experience.
  • Advanced organizational skills and attention to detail.
  • Experience working under minimal supervision in a multitask environment.
  • Advanced communication and interpersonal skills.
  • Problem-solving and decision-making skills for complex administrative issues.
  • Experience compiling and preparing presentations and editing text for publication.
  • Advanced computer skills with Microsoft Office Suite and database software.

Nice-to-haves

  • Experience with LLNL systems and processes.
  • Knowledge of LLNL business applications such as LAPIS, SmartRecruiters, and LEAP.
