About the position

The Administrative Assistant plays a pivotal role in supporting the administration, teachers, parents, and students within a faith-based educational environment. This position is essential for maintaining efficient office operations, communicating important information, and upholding the school's values. The ideal candidate should be organized, detail-oriented, personable, and possess strong communication skills, along with proficiency in various software applications.

Responsibilities

  • Handle daily administrative functions such as answering phone calls, managing emails, and greeting visitors.
  • Organize and maintain records, files, and databases in compliance with school policies.
  • Coordinate incoming and outgoing correspondence, including newsletters and announcements.
  • Assist the principal with filing reports for the Archdiocese of Milwaukee and Wisconsin Department of Public Instruction.
  • Manage the school's calendar, schedule meetings, and coordinate events with faculty and parents.
  • Serve as the first point of contact for parent inquiries, providing information and support.
  • Maintain attendance records and handle student tardies and absences.
  • Oversee student drop-off and pick-up procedures to ensure safety.
  • Assist with scheduling substitutes for teachers and managing supplies.
  • Support the principal with clerical assistance, including data entry and report generation.
  • Prepare materials for meetings, events, and classroom activities as needed.
  • Foster a welcoming environment in alignment with Catholic values and school mission.
  • Coordinate events such as Mass, assemblies, and seasonal celebrations.

Requirements

  • High school diploma or GED required.
  • 1 year of administrative experience required.
  • 1 year of customer service experience required.
  • 1 year of experience with Microsoft Word required.

Nice-to-haves

  • Experience with QuickBooks is preferred.
  • Ability to communicate in Spanish is a plus.
  • Ability to relocate to Delavan, WI before starting work is preferred.
