About the position

The Office Services Administrative Assistant at Nevada Gold Mines plays a crucial role in supporting the operations of the Elko Business Office. This position involves maintaining a safe and organized work environment, providing administrative support to the Human Resources department, and ensuring efficient communication and coordination among various stakeholders. The role is integral to the daily functioning of the office, requiring strong organizational skills and the ability to manage multiple tasks in a fast-paced environment.

Responsibilities

  • Maintain a high standard of housekeeping in all work areas to provide a safe and healthy workplace.
  • Establish work relationships vital to efficiently execute daily maintenance activities.
  • Perform support tasks such as document control, event planning, data entry, and expense management.
  • Support and maintain Temporary Employee / Contingent Worker company program.
  • Assist with coordinating maintenance such as repairs and remodeling at facilities.
  • Receive and screen telephone calls and visitors, assist with inquiries, and resolve problems.
  • Provide confidential administrative support for the Human Resources department.
  • Monitor and circulate mail, records, publications, and maintain office supplies.
  • Serve as a liaison between managers, employees, and business partners; schedule appointments and meetings.
  • Prepare confidential documents and presentations.
  • Prepare and distribute weekly/monthly communications.
  • Generate requests for payment; code and enter data.
  • Perform other duties as assigned.

Requirements

  • Minimum of two (2) years' prior office administration experience preferred.
  • Minimum of two (2) years' previous construction and maintenance experience preferred.
  • Valid driver's license required.
  • Ability to lift and carry at least 50 pounds required.
  • Ability to communicate effectively and professionally at all times required.
  • Ability to organize and prioritize a heavy workload in a fast-paced environment required.
  • Ability to work unsupervised and understand/follow work standards and procedures required.
  • Advanced knowledge of Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, Visio) required.
  • Advanced knowledge of office management/administrative support practices and procedures required.
  • Proven ability to handle confidential information with discretion required.
  • Advanced experience with electronic filing systems required.
  • Ability to multi-task, self-manage, and self-motivate required.
  • Willingness to work weekends and possible overtime required.
  • Ability to work in inclement weather conditions required.
