About the position

Diagnostic Laboratory Services, Inc. (DLS) is seeking an Employee Benefits and Payroll Specialist to join our Human Resources team. As Hawaii's largest locally owned and operated medical testing laboratory, DLS plays a crucial role in the healthcare community, providing state-of-the-art testing and value-based informatics to enhance patient care and outcomes. This full-time position requires a dedicated individual who can manage a variety of HR programs and activities related to payroll and benefits administration. The successful candidate will be responsible for the day-to-day operations of payroll and benefits, ensuring compliance with state and federal laws while providing exceptional customer service to employees. In this role, you will coordinate and administer payroll functions, including processing bi-weekly payroll, managing employee benefits, and overseeing leave administration. You will serve as the primary contact for all benefit-related inquiries, conducting informational sessions for employees and managing the annual Open Enrollment process. Additionally, you will handle disability benefits, Family Medical Leave Act (FMLA) administration, and workers' compensation claims, ensuring that all processes are executed accurately and efficiently. The ideal candidate will possess strong analytical skills, a solid understanding of HRIS systems, and the ability to communicate effectively with diverse audiences. You will be expected to demonstrate flexibility in your schedule to meet operational needs and contribute to a positive work culture that values collaboration and inclusivity. This position is integral to maintaining the high standards of service that DLS is known for, and you will play a key role in supporting our employees' needs and enhancing their overall experience within the organization.

Responsibilities

  • Perform the payroll function for the organization, including processing biweekly and year-end payroll, audits, and reconciliation.
  • Process final paychecks for terminating employees as required by law and company policy.
  • Audit time and attendance records and follow up on discrepancies to ensure accuracy of payroll data.
  • Develop and generate payroll reports to meet customers' needs.
  • Maintain a system for payment of employee garnishments, levies, child support judgments, etc.
  • Provide training for management and staff on payroll as needed.
  • Process employee benefits and maintain employee benefit programs for the organization.
  • Serve as a primary contact for all benefit-related questions and coordinate informational sessions for employees.
  • Coordinate Annual Open Enrollment, including distribution of materials and processing benefit changes.
  • Determine eligibility and process payment for employee leave programs in accordance with state and federal law.
  • Process COBRA notification information and other relevant documents for terminating employees as required by law.
  • Manage Leave Administration for all DLS employees, including processing disability benefits and managing FMLA administration.
  • Facilitate light duty and reasonable accommodation issues for all employees.
  • Process and coordinate all workers' compensation claims and follow up on open claims.
  • Enter and maintain data in the HRIS, including Personnel Action Forms and user data for employees.
  • Respond to questions and inquiries on human resources policies, procedures, programs, and services.

Requirements

  • Bachelor's Degree from an accredited college or university in Human Resources Management or a related field.
  • At least two (2) years of experience in payroll processing, coordinating employee leave benefits, or managing employee benefits and leaves.
  • Demonstrated working knowledge of State and Federal laws pertaining to payroll and benefits administration.
  • Working knowledge of HRIS PeopleSoft program and Kronos time and attendance system.
  • Ability to communicate effectively in English, both verbally and in writing.
  • Excellent customer service skills and effective coaching skills.
  • Proficient in Microsoft Office Suite or similar applications.
