About the position

The Employment Tax and Payroll Specialist at CompuNet, Inc. is responsible for ensuring state and local tax compliance, processing payroll, and maintaining accurate payroll records. This role requires a strong understanding of payroll regulations and tax management, as well as the ability to coordinate with various departments to ensure compliance with federal, state, and local laws. The specialist will also oversee the preparation of year-end tax forms and manage payroll discrepancies, contributing to the overall efficiency of payroll processes.

Responsibilities

  • Process company-wide payroll for CompuNet, including terminations, bonuses, and regularly scheduled bi-weekly and weekly expense payroll.
  • Export payroll hours from time-keeping platform.
  • Maintain and register all employment taxes in multiple states, cities, or counties.
  • Coordinate with HR to maintain compliance with all federal, state, and local regulatory requirements and laws related to payroll processing.
  • Coordinate with HR to review and update transactions/tax settings in UKG.
  • Coordinate with Finance to maintain GL mapping.
  • Audit GL exports for accuracy and completeness of accounting entries.
  • Manage, research, and process all tax notifications.
  • Grant TPA for payment services for UKG as needed.
  • File and send payments for the states/counties not handled by UKG.
  • Manage Business License registrations and renewals in states, cities, and counties as needed.
  • Assist team members with direct deposit and withholding tax questions.
  • Oversee the preparation, accuracy, and timely distribution of year-end W-2 forms.
  • Identify and resolve payroll discrepancies.
  • Interpret pay policies to ensure accurate pay, e.g. holiday, overtime, and payroll.
  • Ensure all payroll information and records are maintained in accordance with statutory requirements.
  • Assist in the development of overall payroll procedures and processes to improve efficiency.
  • Coordinate with UKG for quarterly and year-end payroll processes.
  • Monitor and audit payroll to ensure accurate monthly payments and tax deductions and resolve issues related to payroll production.
  • Review expense reimbursements for compliance with expense policy.
  • Coordinate with 401k administrator to manage plan.
  • Audit 401K upload files for accuracy and compliance with contribution limits.
  • Review and provide 401K accounting entries to finance team.
  • Assist with HR compliance special projects.

Requirements

  • Minimum of 5 years of experience processing full payroll cycle and managing payroll tax utilizing a third-party vendor.
  • Payroll tax experience is required.
  • Strong familiarity with multistate payroll regulations, payroll tax management and compliance.
  • Experience with payroll garnishments.
  • Proficient in using UKG payroll software and related technologies strongly preferred.
  • Experience with and a strong understanding of accounting entries.
  • Excellent numerical skills and attention to detail.
  • Proven experience managing payroll for over 300 employees.
  • Ability to maintain confidentiality of sensitive payroll information.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
