About the position

The Enforcement Support Specialist at the Construction Contractors Board (CCB) plays a crucial role in providing clerical and administrative support to the Enforcement and Disputes units. This position is essential for ensuring compliance with state laws and regulations in the construction industry, focusing on protecting consumers and addressing contracting violations. The role requires precision, teamwork, and effective communication to manage a substantial volume of documentation and support the agency's mission of promoting equity and dismantling racial inequities in Oregon.

Responsibilities

  • Provide telephone, clerical, word processing, and team support for the Enforcement and Disputes units.
  • Collaborate with the Manager weekly to identify unique support measures needed for work units.
  • Make and confirm reservations for enforcement activities.
  • Take accurate and detailed minutes at monthly meetings.
  • Order and distribute supplies to at-home staff as requested.
  • Restock supplies and paper in printers and mail areas.
  • Perform quality control and daily import of agency records using agency software programs.
  • Prepare unit reports as assigned.
  • Open and process mail daily for sections within the Enforcement Division.
  • Follow detailed directions for receiving, copying, and sorting mail notices and preparing correspondence with appropriate attachments.
  • Sort and distribute incoming and outgoing mail for all work units within Enforcement.
  • Maintain and record mailing information accurately using agency software programs.

Requirements

  • Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents; OR an associate degree in any field; OR an equivalent combination of education and experience.
  • Experience engaging and collaborating with internal and external stakeholders and partners.
  • Proficient verbal and written communication skills.
  • Demonstrated skills in building relationships and effectively communicating with a wide variety of stakeholders, including executive level leaders, the general public, and staff.
  • Skill in organizing work efficiently and exercising independent judgment in making appropriate decisions concerning work methods.
  • Skill in applying specific, well-defined rules, regulations, policies, and procedures to work performed.
  • Attention to detail.
  • Demonstrated ability to work independently and be self-motivated, as well as the ability to be part of a team and support colleagues across agency sections.
