About the position

George Fox University's College of Engineering is seeking a highly-motivated and organized individual to join their team as an Engineering Projects Coordinator. This position will play a key role in coordinating engineering projects within the College of Engineering. The Engineering Projects Coordinator will manage key workflow processes necessary for the successful functioning of student project teams in support of the mission, strategy, and goals of the College of Engineering. This role will coordinate detailed purchasing, budgeting, materials shipping, receiving, distribution, accounting and reconciliation for 40-50 student project teams (servant engineering and senior design) composed of 5-7 students and 1-2 faculty. They will manage 25-30 course project teams, laboratory equipment and Maker Hub space materials/equipment and instrumentation requests. In addition, the individual in this position will coordinate and collaborate with the Departments of Mechanical, Biomedical, Civil, Electrical and Computer Engineering, as well as the Maker Hub space for all project-based events. Stakeholders for the Engineering Projects Coordinator will include students (~350 engineering and computer science majors), 20 faculty, 3 Maker Hub staff, 10-25 adjunct faculty, 20-25 NGOs and/or project clients, and 20-25 industry sponsors/partners.

Responsibilities

  • Coordinating projects communication and work-flow coordination, interfacing with faculty, students and industry representatives.
  • Coordinating purchasing responsibility for student/team projects as well as course materials, Maker Hub, lab equipment and project supplies requested by faculty.
  • Distributing and reconciling purchases to faculty and student project teams.
  • Maintaining and executing accurate and timely project work-flow processes for all project team purchases.
  • Recording and retaining all Senior Design project team purchasing activity, and processing reconciliation with industry sponsors.
  • Coordinating Senior Design team project sponsorship communiques with all industry partners.
  • Setting up and maintaining the budget tracking system, Project log, Master Purchase log, and Team Project Dashboards for the academic year.
  • Processing requisitions, PO system and credit card reconciliation.
  • Coordinating departmental faculty budget requests, preparing and submitting reports to the College of Engineering Dean for approvals.
  • Setting up and monitoring individual approved project budgets in the purchasing system.
  • Utilizing office and web-based software to facilitate communications with students, staff, faculty and industry partners.
  • Processing data acquisition and entry on ASEE annual survey report.
  • Populating faculty schedules in the Google calendar.
  • Running monthly department budget reports and populating spreadsheet with data for the College of Engineering Dean.
  • Distributing, maintaining, and reporting of petty cash.
  • Completing various special projects for CENG as assigned.
  • Communicating effectively and courteously with others, including employees, students, and the public, in a spirit of teamwork, respect and customer service.

Requirements

  • 2 years of professional administrative support experience.
  • Strong book-keeping skills.
  • Excellent interpersonal and communication skills.
  • Strong attention to detail composing, typing, and proofing materials, establishing priorities, and meeting deadlines in a timely manner.
  • High level of initiative and ability to work independently as well as enthusiastic about working in a collaborative environment with students and external stakeholders.
  • Demonstrated analytical and problem-solving skills.
  • Proven project management, planning and organizational skills.
  • Superior oral and written communication skills and outstanding service orientation.
  • Demonstrated computer proficiency including Google platform, Microsoft Office Suite (word processing and Excel), email, internet, data base, web, etc.
  • Proven track record of discretion and integrity in maintaining confidentiality.
  • A personal commitment to Jesus Christ and express their Christian testimony in a church.
