About the position

The Promotion Coordinator is responsible for assisting in the maintenance, development, execution, and evaluation of marketing operations related to entertainment, events, and promotional programs. This role is crucial in achieving objectives regarding revenue and profitability while identifying opportunities to enhance effectiveness. The coordinator will work closely with various teams to ensure that all promotional and property events are planned and executed seamlessly. This includes handling the logistics of artist and show production, coordinating promotional details, and ensuring that all events align with the company's standards and objectives. In this position, the coordinator will be tasked with planning and developing promotional events, managing the details of artist engagements, and coordinating with counterparts at Grand Casino Hinckley for cross-property promotions. The role also involves assisting with box office ticketing, managing accounting procedures, and addressing ticket-related issues. The coordinator will create and distribute communications regarding entertainment and promotions, ensuring timely updates to both internal and external stakeholders. Additionally, the Promotion Coordinator will be responsible for processing contracts, creating purchase orders, and maintaining necessary files. They will assist with financial management and billing, attend and work at events, and ensure the proper delivery and return of event materials. The coordinator will also evaluate events post-execution, submit reports, and maintain compliance with company policies. This role requires a proactive approach to managing promotional items, conducting audits, and facilitating meetings related to events and promotions.

Responsibilities

  • Assist in maintaining, developing, executing, and evaluating marketing operations for entertainment, events, and promotional programs.
  • Plan, develop, implement, and assist with all promotional and property events.
  • Handle details of artist and show production, including food, sound, light, transportation, payment, and passes.
  • Coordinate promotional details such as ordering products, displaying items, and managing set-up and teardown of promotional giveaways.
  • Work with Grand Casino Hinckley counterparts on cross-property promotions and events to ensure consistent execution.
  • Assist with box office ticketing, accounting procedures, and ticket issues, ensuring proper holds are established and maintained.
  • Create and distribute internal and external communications regarding entertainment, promotions, and events.
  • Update the GC intranet with promotions, events, and concerts for internal guests.
  • Process contracts, create purchase orders, and maintain necessary files.
  • Assist with monthly financial management and billing.
  • Attend and work at each entertainment, promotions, and event.
  • Ensure the delivery and return of decorations, props, and rental items.
  • Secure and maintain entertainment and events files, including schedule listings and competitor reports.
  • Provide clerical support, including faxing, typing, and distribution of memos.
  • Contribute to special projects to support company management as needed.
  • Run errands to obtain photos, materials, and props for events.
  • Ensure compliance with all company policies and practices.
  • Evaluate each event and submit post-event reports with pertinent information.
  • Program and execute promotions utilizing MGT or other virtual drawing systems.
  • Obtain reports from Patron/MGT.
  • Conduct regular inventories of promotional items to ensure compliance with regulations.
  • Conduct regular audits of coupons and other items.
  • Send out RFPs to secure appropriate decorations or services for promotions, events, and concerts.
  • Coordinate and facilitate meetings related to promotions and events.
  • Maintain cooperative and informed relationships with vendors.
  • Develop promotional rules, procedures, and internal communications.

Requirements

  • High School Diploma or GED required.
  • Minimum of two (2) years experience in event planning, entertainment, or promotions execution required.
  • One (1) year supervisory experience preferred.
