As an Administrative Assistant, you will play a key role in ensuring the smooth operation of our legal practice, offering administrative support that enhances efficiency and fosters a positive work environment. In this role, you will be responsible for a variety of tasks that are essential to the daily operations of our firm. You will be the first point of contact for clients, answering and returning telephone calls promptly, and communicating clearly with clients to provide updates and address inquiries. You will also set up and maintain client files in both Cosmo Lex and paper formats, ensuring that all documentation is organized and easily accessible. Your ability to scan, copy, and upload documents using various office software will be crucial in maintaining the flow of information within the firm. Additionally, you will track and calendar all relevant deadlines, ensuring that attorneys are aware of them, and manage and confirm appointments, including making pre-appointment calls. Typing routine correspondence, memos, and other documents will be part of your daily responsibilities, as well as reviewing and distributing incoming mail and facilitating the e-filing of documents. You will provide support to paralegals and attorneys as needed and perform additional duties as required, all while prioritizing and managing multiple tasks with meticulous attention to detail. Consistent in-person attendance is essential for this role, as you will be an integral member of our office team.

Responsibilities

  • Answer and return telephone calls within 30 minutes or first thing the next business day.
  • Communicate clearly with clients, providing updates and addressing inquiries.
  • Set up and maintain client files in Cosmo Lex and paper formats.
  • Scan, copy, and upload documents using various office software.
  • Track and calendar all relevant deadlines, ensuring attorneys are aware of them.
  • Manage and confirm appointments, including pre-appointment calls.
  • Confirm appointments the day before.
  • Type routine correspondence, memos, and other documents.
  • Review and distribute incoming mail, uploading it to case management software.
  • Facilitate the e-filing of documents.
  • Provide support to paralegals and attorneys as needed and perform additional duties as required.
  • Prioritize and manage multiple tasks with meticulous attention to detail.
  • Maintain consistent in-person attendance.

Requirements

  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • At least 1 year of experience in a professional setting.
  • Typing speed of 50 words per minute or higher.
  • Exceptional organizational and multitasking abilities.
  • Strong oral and written communication skills.
  • Professional and friendly demeanor on the phone and in person.
  • Ability to work independently and excel in a fast-paced team environment.
