About the position

Smithbucklin, a 650-person, employee-owned professional services company with over 70 years of experience in the association market, is seeking an Entry-Level Meeting & Event Planner to join our team in either Chicago or Washington, DC. Our Event Services unit specializes in providing comprehensive meeting, convention, event, and tradeshow management services worldwide. Our dedicated meeting professionals manage every aspect of our client organizations' events, ensuring a seamless and enjoyable experience for all attendees, exhibitors, and sponsors while achieving the event objectives set by our clients. As an Entry-Level Meeting & Event Planner, you will play a crucial role in assisting with the planning and execution of various meetings and events, contributing to the overall success of our clients' initiatives. You will work closely with client organizations' leaders to create memorable conference experiences, while also managing logistical details and ensuring effective communication among all stakeholders involved. In this role, you will be responsible for a variety of tasks, including financial reconciliation, preparing statistical reports, and maintaining accurate records in our database systems. You will also facilitate communication between Smithbucklin units, clients, exhibitors, sponsors, attendees, and suppliers to ensure that all needs are met. Responsibilities

  • Assist and contribute to the planning of meetings, events, tradeshows, and registration.
  • Handle financial reconciliation, including processing invoices and collecting past-due payments.
  • Prepare statistical reports and ensure accurate record-keeping in database systems.
  • Assist with planning responsibilities for multiple clients and meetings.
  • Facilitate continuous communication between Smithbucklin units, clients, exhibitors, sponsors, attendees, and suppliers.
  • Oversee and manage temporary staff for data entry and clerical support.

Requirements

  • Bachelor's degree or equivalent experience.
  • 0-2 years of relevant professional experience.
  • Strong written and oral communication skills.
  • Detail-oriented with strong multi-tasking and time management skills.
  • Ability to work independently and in a team-oriented environment.
  • Demonstrated customer service skills.

Nice-to-haves

  • 6-12 months of experience in an event planning environment is a plus.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
