About the position

The Payroll Specialist position at Disability Services of the Southwest involves managing payroll processes for clients with disabilities, ensuring compliance with administrative policies and regulations. The role requires both independent work and collaboration with healthcare professionals, clients, and families to facilitate accurate payroll operations and support the independence of individuals served by the organization.

Responsibilities

  • Audit time records submitted by clients to ensure compliance with policies and regulations.
  • Verify salary adjustments and retroactive payroll for all employees.
  • Collect corrected information as needed for payroll accuracy.
  • Coordinate payroll runs, review documents, correct errors, and balance payroll for each pay period.
  • Compile routine reports related to payroll activity and post adjustments to the general ledger as necessary.
  • Explain company payroll policies and procedures to new hires and service advisors.
  • Respond to inquiries from employers regarding changes in paychecks, time sheets, and coding.
  • Process new clients, including establishing tax identification and setting up tax accounts.
  • Prepare and audit information needed for state and federal reports.
  • Terminate agent status for discharged clients and complete related functions.
  • Observe confidentiality policies and comply with all relevant regulations.

Requirements

  • High school diploma or GED required.
  • Two years of experience in payroll accounting required.
  • Competence with computer applications such as MS Word and Excel is necessary.
  • Ability to learn agency-specific software quickly.
  • Typing speed of 35 wpm with 80% accuracy is required.
  • 80% accuracy in Excel and proficiency in 10-key adding machine with 6,000 to 8,000 keystrokes.
