About the position

As the Equity, People, and Strategy Administrative Assistant at United Way of South Central Michigan (UWSCMI), you will play a crucial role in supporting the organization's mission by providing people and value-centered administrative support. This position is responsible for ensuring effective daily operations and contributing to the overall effectiveness of the team. You will provide administrative support for the Executive Impact and Equity Officer and work closely with the Equity, People, and Strategy department, supporting individual team members and specific physical office locations. Additionally, you will collaborate across other departments when necessary to support additional organizational needs. This is a hybrid position that can be based out of the UWSCMI Battle Creek or Kalamazoo office, requiring a minimum of 2 days in the office each week. Monthly travel to both the Battle Creek and Kalamazoo offices is required, along with occasional travel across the six-county region. The standard workweek at UWSCMI is 37.5 hours. In this role, you will contribute to an equitable, diverse, and inclusive organizational culture that centers people in every solution, process, and function. You will support the Executive Impact and Equity Officer and the department of three full-time team members by handling logistics, communications, coordination, and publishing of meeting/event schedules, work plans, meeting minutes, agendas, and related materials. You will also manage the Executive's calendar, ensuring strategic priorities are met in a timely manner while providing clerical support and reception services to physical office locations. Event coordination will be a key responsibility, where you will assist in planning and coordinating logistics for various events, including meetings, conferences, and workshops, ensuring smooth operations and attendee satisfaction. Additionally, you will support special projects, including the review, research, summarization, or analysis of information, and perform other related duties as assigned.

Responsibilities

  • Contribute to an equitable, diverse, and inclusive organizational culture.
  • Provide administrative support to the Executive Impact and Equity Officer and the Equity, People, and Strategy department.
  • Handle logistics, communications, coordination, and publishing of meeting/event schedules, work plans, meeting minutes, agendas, and related materials.
  • Manage the Executive Impact and Equity Officer's calendar, ensuring strategic priorities are met.
  • Provide clerical support and reception services to physical office locations.
  • Assist in planning and coordinating logistics for events, including meetings, conferences, and workshops.
  • Coordinate catering, venue setup, and logistical arrangements for events.
  • Provide on-site support during events to ensure smooth operations and attendee satisfaction.
  • Support special projects including review, research, summarization, or analysis of information.
  • Perform other related duties as assigned.

Requirements

  • Demonstrates a commitment to equity, diversity, and inclusion and ability to apply anti-oppressive and anti-racist principles in the workplace.
  • Experience coordinating multiple, complex initiatives simultaneously with strong attention to detail.
  • Previous experience in customer service and administrative support, with a passion for equity, diversity, and inclusion initiatives preferred.
  • Exceptional working knowledge of Microsoft Windows and Microsoft Suite applications including Word, Excel, Outlook, and PowerPoint.
  • Experience with Microsoft Teams platform is a plus.
  • Ability to prioritize and manage multiple projects simultaneously.
  • Strong and adaptable written and verbal communication skills.
  • Demonstrated ability to perform a wide variety of complex administrative procedures and practices.
  • Ability to exercise independence of action in administrative matters and use discretion in interactions.
  • Ability to maintain the confidentiality of highly sensitive information.
