About the position

The Boutique Estate Planning & Asset Protection Law firm based in Miami, FL is seeking a dedicated and self-motivated REMOTE Legal / Administrative Assistant to join its growing practice. This position is fully remote, with the requirement to visit the office 1-2 weeks per year, with all travel expenses covered by the firm. The firm prides itself on a laid-back culture, led by a CEO who values independence and self-starters. The ideal candidate will thrive in a remote work environment, demonstrating the ability to manage tasks with minimal supervision. You will be part of a small team, working alongside one other Paralegal Manager and one other legal/admin assistant, contributing to the firm's mission of providing exceptional estate planning and asset protection services. In this role, you will be responsible for assisting with overall client onboarding, which involves direct communication with both staff and clients. You will engage with clients through various channels, including phone, email, and virtual meetings, ensuring a seamless experience. Your duties will also include drafting and reviewing legal documents, executing general administrative tasks such as scheduling meetings, and managing client and third-party invoices. The position requires occasional trips to the post office, emphasizing the need for a proactive and organized individual who can handle multiple responsibilities efficiently. The work schedule consists of 40 hours per week, with Monday through Thursday hours typically from 9 a.m. to 5 p.m. On Fridays, modified hours are required from 12 p.m. to 8 p.m. EST. Candidates who cannot accommodate the Friday schedule should refrain from applying. The firm offers a competitive salary of $50,000 for the first year, with annual reviews for potential raises, reflecting the firm's commitment to employee growth and satisfaction.

Responsibilities

  • Assist with overall client onboarding, while working directly with staff and clients
  • Communicate with staff, current clients, and potential clients via phone, email, and virtual meetings
  • Draft and review legal documents
  • Execute general administrative tasks, such as scheduling phone calls and meetings, printing documents, and mailing documents
  • Handle client and third-party invoices, billings, and payments
  • Perform occasional post office runs

Requirements

  • 2 years of experience as a Legal Assistant
  • Valid Paralegal Certificate certification
  • Experience with Westlaw
