We are in search of an experienced Legal Assistant/Paralegal to join this team and help maintain the standard of excellence for which we are known. The Legal Assistant/Paralegal will have an immediate and lasting impact on our operations, guiding us toward positive outcomes with comprehensive communication, document creation, and database maintenance. The candidate should have some law firm experience. The ideal candidate will have demonstrated experience with estate planning, probate, and/or business background. The role requires an organized and detail-oriented individual who can manage multiple tasks without letting attention to detail slow them down. A sincere communicator who can engage with a diverse client portfolio is essential. The candidate must be comfortable talking to clients on the phone and in person, as well as communicating effectively with coworkers and management. Reliability and punctuality are expected, along with flexibility to work collaboratively with the team, which may include working late or arriving early as needed. Compassion is key, as our clients are often elderly, at risk, or grieving. The successful candidate will be a self-starter who is comfortable working independently while also knowing when to ask questions to ensure tasks are completed correctly. Excellent time management skills are crucial, with a preference for candidates who have experience tracking their time or working on a billable hour basis. Technological proficiency using systems like Microsoft Office, Gmail, Zoom, and other cloud-based products is also required.

Responsibilities

  • Client scheduling, intake, and overseeing client engagement
  • Scanning, opening, and organizing case files
  • Handling mail (both incoming and outgoing) and making trips to the post office
  • Receiving and making payments and bank deposits
  • Maintaining supplies
  • Preparing final documents for signatures
  • Drafting cover letters and correspondence
  • Handling incoming and outgoing court communication and service.

Requirements

  • 3 years of administrative experience
  • Legal administrative experience in a law office
  • Certified Notary Public
  • Paralegal experience
  • Experience with estate planning and probate
  • Strong communication skills
  • Excellent time management skills
  • Technological proficiency with Microsoft Office and cloud-based products.

Nice-to-haves

  • Experience using legal case management software, including Mycase and Sharefile
  • Notary certification preferred
