The Event and Hospitality Manager position at Greenspoon Marder LLP is a full-time role based in either the Los Angeles or Denver office, responsible for managing events and hospitality across local and nationwide offices. This role requires a strong background in the event and hospitality industry, with a focus on organizing and executing various types of events, including in-person, virtual, and hybrid formats. The manager will work closely with both in-house teams and external vendors to ensure the successful planning and execution of events such as cocktail parties, roundtables, trade shows, and webinars. The position involves overseeing all aspects of events from conception to completion, including post-event reporting, budgeting, and analytics. The Event and Hospitality Manager will be tasked with pre-production activities such as budgeting, site visits, vendor requests for proposals (RFPs), and production schedules. They will coordinate and execute tasks necessary for successful event execution while adhering to financial and time constraints. Maintaining accurate records for all events and hospitality functions is crucial, as is managing event-related lists, including contacts, attendees, sponsors, and volunteers. The manager will also collaborate with marketing teams to ensure all event needs are met, including guest lists and name tags. On-site coordination is a key responsibility, which includes managing setup, signage, registration, food and beverage (F&B) requirements, technical needs, and cleanup. The manager will also be responsible for executing virtual events, ensuring all creative and technical aspects are handled seamlessly. Coordination with other departments, such as facilities and office services, is essential to ensure that procedures are followed for in-office events and that timely notifications are provided to relevant departments. In addition to event management, the role includes overseeing hospitality needs in the firm's Florida offices and other locations, which encompasses day-to-day requests for meetings, food and beverage service, and kitchen supplies. The ideal candidate will have proven experience as an Event Manager, with the ability to manage multiple events simultaneously across different cities. Strong organizational skills, proficiency in multitasking, and a solid understanding of the food and beverage industry are preferred, as the role involves menu creation for various events. Excellent communication and writing skills are necessary, particularly for interactions with C-suite individuals, and experience managing a team is required. The position may require early mornings, late evenings, and weekend hours, along with travel to other offices, and the ability to lift up to 40 pounds is necessary.
