About the position

The Event Assistant Manager at Meow Wolf is responsible for supporting the Event Manager and the Event Team in executing various events, including ticketed, internal, and private events. This role involves planning, organizing, and facilitating event execution while ensuring a high level of hospitality and safety for all participants. The position requires collaboration with multiple stakeholders and oversight of event logistics, financial tracking, and maintaining a welcoming environment for guests and artists.

Responsibilities

  • Assist in planning, organizing, launching and facilitating event execution.
  • Act as venue representative and services provider to private event clients, performing artists, crew members, tour managers and vendor partners.
  • Responsible for developing and maintaining standard operating procedures around event planning process and execution.
  • Work with all event stakeholders to ensure the enjoyment and safety of guests, staff, and clients before, during, and after events.
  • Oversee and assist with load-in, optimal room set, and load-out, acting as a stage hand or production assistant as needed.
  • Coordinate with outside vendors for rentals, catering, and activations.
  • Maximize programming and operations of events in collaboration with the Events Team.
  • Monitor the effectiveness of internal and contracted staff and provide assistance where needed.
  • Execute hospitality requirements and maintain Green Rooms and Back of House.
  • Track event revenue and financials, overseeing ticket and bar sales, and completing reports accurately.
  • Assist in collecting and tracking reimbursable expenses.
  • Ensure all incidents are addressed and reported appropriately.
  • Attend company, department, and client/vendor planning meetings as assigned.
  • Provide assistance with any events produced by the Meow Wolf Events Department as requested.

Requirements

  • High school diploma/GED required; Bachelor's Degree or higher preferred.
  • Minimum 3 years' experience in music industry, event planning, or operations in venue, entertainment, hospitality, or attractions environment.
  • Background and passion in music industry, event planning, and/or hospitality management.
