About the position

The Event Assistant plays a crucial role in supporting the events team by ensuring project timelines are met and contributing to the successful execution of events. This position involves monitoring tasks, collaborating with team members, and documenting best practices to enhance the quality of services provided. The assistant's reliable execution is key to fostering positive client relationships and ensuring a seamless client experience.

Responsibilities

  • Monitor project timelines and task allocations, updating management tools with status for assigned activities in real time.
  • Coordinate and collaborate across teams to ensure all work products are of the highest quality and informed with up-to-date information.
  • Attend weekly contract management and daily stand-up meetings as needed to support contract execution.
  • Develop Standard Operating Procedures (SOPs) and Quality Control (QC) procedures, updating them to reflect efficiencies and best practices.
  • Contribute to client progress and status reports, including monthly reports and weekly registration metrics.
  • Develop and edit agendas and meeting minutes from client planning committee meetings and status meetings.
  • Document all expenses in the ODC tracker.
  • Assist with market research and literature reviews, presenting findings as needed.
  • Prepare and maintain project file folders with all completed work products, artifacts, and deliverables.
  • Contribute to the quality control process, including peer review of work products and coordinating QC of deliverables.
  • Document quality control of work products and deliverables before delivery to clients or management.
  • Stay updated on necessary technology and processes, capturing and implementing best practices and lessons learned.
  • Assist with event planning activities, including site selection, venue contract negotiation, speaker management, travel arrangements, and post-event deliverables.

Requirements

  • High School diploma or GED required.
  • Demonstrated professionalism in conduct and work.
  • Ability to plan and manage time effectively to achieve project goals.
  • Proficient written and verbal communication skills.
  • Ability to work independently and collaboratively to achieve organizational goals.
  • Understanding of company standards to deliver consistent results.
  • Demonstrated ability to plan, lead, and manage projects effectively.

Nice-to-haves

  • Bachelor's degree or higher preferred.
  • Strong desire to enter a career path in event management.
