About the position

The Event & Campus Operations Coordinator at Hillsdale College is responsible for assisting in the set-up, coordination, and execution of various events and operations on campus, particularly at the Roche Sports Complex, Biermann Tennis and Track facility, and other college venues. This role is crucial for ensuring that events run smoothly and efficiently, requiring a flexible schedule to accommodate evening and weekend work as needed. The coordinator will serve as a liaison between the college and external constituents, including athletic teams and other departments, ensuring effective communication and collaboration throughout the event planning and execution process. In this position, the coordinator will be tasked with setting up and coordinating events, which includes pre-event and pre-game setup and teardown. This involves arranging equipment and facilities such as player benches, scorer's tables, and digital display systems for both indoor and outdoor events. The coordinator will also work closely with the Manager of Event Setup and Mobile Dining to facilitate the delivery, setup, and teardown of various college events across campus, including managing food trucks and other catering services. Collaboration with various campus departments, such as Audio/Video, Catering, and the Physical Plant, is essential to meet the needs of each event. The coordinator will assist with summer camp programs and work alongside the Director of Campus Event Management and Operations to achieve broader goals related to campus events, with a primary focus on athletics. Familiarity with the college's event request and management software is necessary, as the coordinator will assist key personnel in submitting and managing event requests. Additionally, the coordinator will perform any other tasks and projects as assigned, contributing to the overall mission of Hillsdale College.

Responsibilities

  • Set up and coordinate events at Roche Sports Complex, Biermann Tennis & Track Facility, Hayden Park, and other College venues.
  • Serve as a liaison between the College and outside constituents, including athletic teams and associated personnel, as well as College departments and staff.
  • Coordinate and assist with pre-event and/or pre-game setup and teardown, including equipment and facilities setup for indoor and outdoor events.
  • Work with the Manager of Event Setup and Mobile Dining for delivery, setup, and teardown for College events across campus.
  • Move, set up, and teardown tables, chairs, mobile bars, stages, etc., and manage campus food trucks.
  • Coordinate with various campus departments, including Audio/Video, Catering, and the Physical Plant, to facilitate event duties and needs.
  • Assist with summer camp programs regarding the effective utilization of College facilities.
  • Work with the Director of Campus Event Management and Operations to achieve broader goals surrounding campus events, maintaining a focus on athletics.
  • Utilize the College's preferred method of event request and management software and assist key personnel in managing event requests.
  • Perform any and all other tasks and projects as assigned.

Requirements

  • High school diploma required; bachelor's degree preferred.
  • Two years of related experience or an equivalent combination of education and experience that fulfills the needs of the College.
  • Customer-oriented mentality when working with external parties, especially officials, fans, and visiting teams.
  • Superior organizational skills and the ability to multi-task.
  • Ability to work in a team and manage others.
  • Accessibility and availability in emergencies or when needed to meet the ongoing mission of the College.
  • Adherence to all safety standards and work practices established by the College.
  • Effective verbal and written communication skills, with the ability to take instruction in either form.
  • Proficiency in technology, including Microsoft Office and Outlook.
