About the position

Be Bold Events is looking for a proactive and organized Event Coordinator and Administrative Assistant to manage all aspects of event planning and execution. This part-time, contract role involves overseeing logistics, coordinating with vendors, and ensuring a seamless experience for attendees while providing administrative support to the CEO and the team.

Responsibilities

  • Manage and respond to email communications promptly and professionally.
  • Send out reminders to event participants, speakers, and facilitators.
  • Assist with technical setups and troubleshooting on the day of events.
  • Liaise with speakers and retreat facilitators to coordinate event details and logistics.
  • Develop and maintain detailed checklists to ensure all event tasks are completed efficiently.
  • Execute various event-related tasks as assigned, ensuring a high level of accuracy and attention to detail.
  • Provide regular progress updates to the CEO, highlighting key accomplishments and any challenges.
  • Help the organization run efficiently using computer software to create spreadsheets, manage databases, and prepare presentations, reports, and documents.
  • Negotiate with vendors, buy supplies, manage inventory, and order merchandise for marketing.
  • Promote upcoming events via social media platforms and cold calls.

Requirements

  • Computer proficiency and basic technical skills for event setup and support.
  • Previous experience in event coordination or administrative support is preferred.
  • Strong negotiation skills with the ability to market services effectively.
  • Excellent time management skills with the ability to prioritize tasks in a fast-paced environment.
  • Excellent organizational and multitasking skills.
  • Strong written and verbal communication abilities.
  • Proactive approach with an ability to work independently and as part of a team.
  • Familiarity with budgeting processes and financial management related to event planning.
  • Experience in guest services to enhance attendee satisfaction.
  • Knowledge of banquet operations and hotel environments is a plus.
  • Exceptional organizational skills and attention to detail.
  • Ability to work flexible hours, including evenings and weekends as needed.

Nice-to-haves

  • Experience in events management (1 year preferred).
  • Customer service experience (1 year preferred).
  • Familiarity with the Tampa, FL area.
