About the position

The Event Coordinator at Rocky Mountain College of Art + Design (RMCAD) is responsible for leading the planning, coordination, and execution of events that engage students, faculty, staff, and the community. This role involves collaboration with various departments, including Marketing, IT Services, and Facilities, to ensure successful event delivery and positive community impressions. The coordinator will also manage catering services and optimize event processes to enhance satisfaction among all stakeholders.

Responsibilities

  • Oversee the execution of event-related activities for all departments both onsite and virtually.
  • Assist in establishing event schedules, timelines, and priorities and track in Asana.
  • Coordinate event/meeting needs with other departments as appropriate.
  • Manage the contracted catering group(s) for college events, ensuring adherence to food safety standards.
  • Facilitate all set-up and break-down needs for each event as needed.
  • Develop standard operating procedures for event-related duties in alignment with best practices.
  • Ensure compliance with insurance, legal, health and safety obligations.
  • Propose ideas to improve provided services and event quality.
  • Plan events based on budgets given by different departments.
  • Organize and oversee the work of those assisting with events including volunteers.

Requirements

  • Bachelor's degree or combination of relevant experience and education.
  • 2 years of experience in event planning preferred.
  • Strong verbal and interpersonal skills to effectively build and maintain relationships.
  • Customer-service mindset and strong problem-solving skills.
  • Strong organizational and project management skills.
  • Ability to work with multiple sources to provide concise direction.
  • Ability to work well as part of a team and independently with minimal supervision.
  • Strong working knowledge of MS Office and online event/meeting platforms.
  • Excellent written, public speaking, and oral communication skills.
