About the position

The Event Coordinator is responsible for supporting the planning, execution, and documentation of events sponsored by and attended by the Chancellor of the University of Wisconsin La Crosse (UWL). This role ensures that the event strategy aligns with the university's mission and involves close collaboration with internal and community partners. The coordinator will manage multiple events simultaneously, focusing on logistical details and overall event strategy.

Responsibilities

  • Plan, coordinate, and execute logistical details for multiple events for the Chancellor and campus-wide initiatives.
  • Determine event goals and objectives, develop strategies for attainment, and generate ideas for events.
  • Research and select appropriate venues and event vendors, conducting site checks and walk-throughs.
  • Develop and manage event themes, budgets, invitations, and collateral materials in collaboration with University Marketing & Communications.
  • Recruit and assign volunteers and event staff, ensuring effective communication among all stakeholders.
  • Coordinate event setup and logistics, including audio-visual equipment and catering needs.
  • Perform evaluations of each event to improve quality for future events.
  • Provide backup support to the Chancellor's Office Executive Assistant as needed.

Requirements

  • High School Diploma or equivalent
  • 1-2 years of related experience in a similar position
  • Valid Driver's license required

Nice-to-haves

  • Bachelor's Degree or equivalent years of experience in a similar position
  • More than 2 years of related experience
  • Previous experience in large scale event planning
  • Previous experience as executive-level assistant providing support to senior management or executives requiring discretion and judgement.
