About the position

The Event Coordinator at AXIS Pioneer Square is responsible for overseeing a variety of events and photo/video productions, ensuring a memorable experience for clients while protecting the venue's interests. This full-time position requires a personable individual who can manage event logistics, client communications, and venue operations in a fast-paced environment.

Responsibilities

  • Oversee an array of events and photo/video productions as a representative of the venue.
  • Provide onsite support during events to ensure a memorable experience while protecting the venue's interests.
  • Act as a primary contact & event planning resource for clients during the planning process of their events and rentals.
  • Assist in making sure the venue is always 'client ready' for events, tours, walk-thrus, and art gallery visitors throughout the week.
  • Conduct venue walk-thrus with clients, wedding couples, and event planners, providing suggestions for seamless events.
  • Hold final planning meetings with clients and wedding couples to go over all final details of their events including floor plans, timelines, and venue provided services.
  • Create event floor plans and timelines including event details and services pertaining to the venue and the overall event.
  • Take part in creating daily & weekly social media posts and promo campaigns, and keep the website up to date with online images.
  • Assist with client communications as well as event leads & inquiries when needed.
  • Be a point of contact for vendors & caterers and maintain good working relationships.
  • Assist in setting up and attending AXIS's monthly Art Walk for the gallery.
  • Assist with basic admin duties around the office and venue such as scheduling & staffing events, client invoices, basic accounting, restocking supplies, creating client folders, and securing alley permits for clients.

Requirements

  • Client Relations experience in hospitality and/or event industry-related field
  • Some event coordination experience
  • Sales and/or marketing experience a plus
  • Ability to work in a fast-paced, high-energy environment
  • Detail-oriented & a great multi-tasker with excellent time and calendar management
  • Ability to problem-solve and make decisions independently
  • Computer knowledge and basic understanding of financial terms and calculations
  • Concise and accurate written and verbal communication
  • Comfortable with creating posts for various social media
