About the position

The Event Coordinator at AVA Consulting is responsible for planning and executing various events, working closely with the bank's senior and executive management. This role involves project management, site selection, vendor negotiations, and ensuring high levels of customer service throughout the event planning process. The position requires a blend of organizational skills, budgeting, and effective communication to deliver successful events.

Responsibilities

  • Act as project manager for assigned receptions and meetings, including site selection and online registration site development.
  • Provide top-level customer service to bank's senior management and external customers.
  • Negotiate contracts with hotels and vendors to meet legal requirements and financial benefits.
  • Work with senior management to understand meeting objectives and assess outcomes for future events.
  • Manage ongoing vendor relationships with hotels, restaurants, and other vendors.
  • Partner with Corporate Communications team on presentations and print materials.
  • Coordinate collection and reporting of event evaluation and attendance data.
  • Review and direct general departmental correspondence, including e-mail.
  • Coordinate shipping logistics related to event materials.
  • Identify opportunities for efficiency and consistency through processes and procedures.

Requirements

  • 7 years of relevant event planning/marketing experience in a corporate, agency, or non-profit environment.
  • High school diploma or GED required.
  • Proficient in Microsoft Office applications (Outlook, Word, PowerPoint, and Excel).
  • Excellent verbal and written communication and interpersonal skills.
  • Advanced organizational and time management skills, with budget competency.

Nice-to-haves

  • Bachelor's degree in business, hospitality, marketing, or communications preferred.
  • Proficient in contract negotiations with hotels, vendors, and destination management companies.
  • Ability to manage on-site events and respond to emergencies with calm efficiency.
  • Ability to work independently with guidance from a manager.
  • Demonstrated skill in customer service orientation.

Benefits

  • Contract position with hourly pay of $30.00 - $32.00 per hour.
  • Hybrid work environment (2-3 days in the office per month).
