About the position

The position involves planning, coordinating, and executing the logistical aspects of in-person, virtual, and hybrid events of various sizes across the Cooperative. The successful candidate will work within established budgets and company policies and procedures to deliver an unparalleled brand experience for attendees, including farmer owners, employees, customers, consumers, and more. This role requires developing and supporting relationships with internal business leaders to gain a deep understanding of business needs. The candidate will translate those needs into specific and customized solutions that enhance customer relationships, brand reputation, employee engagement, and member affinity. In this role, the individual will partner with communications, creative, and marketing teams to develop, update, organize, and order various event or experience communications. A strong understanding of Cvent capabilities is essential, as the candidate will manage communications with business partners to determine objectives and requirements for events. They will serve as the point person for local headquarters meetings and events, researching and planning event spaces, branding, event security, special needs requirements, offsite venues, onsite activities, meals, equipment, and other logistics using RFPs, site visits, and other evaluation criteria. The candidate will be responsible for managing and organizing logistics related to speakers, entertainment, transportation, facilities, technology, equipment, and food and beverage. They will maintain accurate and updated data related to guest lists, travel logistics, room blocks, and other items. The role also includes coordinating invitation solicitations, advanced and onsite registration through Cvent, and post-event follow-up and evaluations. The individual will compile summaries of total event costs, audience profiles, and attendee comments, utilizing various technology systems and software to support the end-to-end meeting planning process, including Cvent, Socio, Passkey, and Webex. Additionally, the candidate will lead the setup, configuration, and management of events within the Cvent platform, ensuring proficiency in configuring event registration forms and attendee management. They will design, customize, and manage multiple event registration websites using Cvent Event Management Software on a daily basis, maintain best practices in event management, and compile project plans summarizing costs, event times, attendance numbers, equipment needs, catering, and other related details. The role requires reconciling event-related expenses to budget in a timely manner and supporting the setting and execution of event goals and KPIs. The candidate will also conduct actionable post-event evaluations to determine how future events could be improved, confer with staff at chosen event sites to direct and coordinate details, and monitor event activities to ensure compliance with applicable regulations and laws, participant satisfaction, and resolution of any arising problems.
