About the position

The Event Logistics Coordinator at Vanderbilt University's Law School is a vital role responsible for organizing and executing various on-campus and off-campus events. This position collaborates with multiple departments within the Law School to ensure successful event planning and execution, overseeing all operational activities related to events. The coordinator will manage logistics, vendor contracts, budgeting, and post-event analysis, contributing to the overall mission of the Law School.

Responsibilities

• Organize and execute on-campus and off-campus events for the Law School.
• Oversee all operational activities before, during, and after events.
• Coordinate event setup, on-site support, and breakdown after events.
• Negotiate preferred vendor contracts and manage payments and invoices.
• Track expenses against budgets and facilitate feedback sessions with clients.
• Manage the Event Management System (EMS) for room and space reservations.
• Create graphics and manage digital monitors and signage for events.
• Ensure compliance with legal, health, and safety standards for events.
• Supervise part-time student workers and manage their schedules.

Requirements

• Minimum 3 years of event management experience required.
• Bachelor's degree in hospitality management, event management, business management, public relations, or related field required.
• Working knowledge of marketing, operations, and budget management required.
• Excellent written and oral communication skills required.
• Intermediate skills in Microsoft Word and Excel required.
• Excellent project management skills required.
• Ability to stand for prolonged periods and lift moderately heavy objects up to 40 pounds required.

Nice-to-haves

• Event Planning or management certification is a plus.
• Experience using event management software (EMS) is preferred.
• Hospitality, restaurant, or customer service experience is a plus.
