About the position

The Event & Logistics Manager at Julien's Auctions is responsible for overseeing the logistical planning, organization, and shipping needs for exhibitions, events, and consignments related to high-profile auctions. This role requires collaboration with various departments, management of multiple timelines, and strong project management skills to ensure successful execution of events and shipments.

Responsibilities

  • Manage exhibition and event timelines and ensure deadlines for property shipments are met and installations are completed on schedule.
  • Liaise with external vendors, including transportation companies, art handlers, logistic and installation teams, to ensure smooth operations.
  • Identify new potential shipping and logistics partners, negotiating terms to secure the best quotes and service options.
  • Build and maintain strong relationships with third-party vendors to ensure reliable service and support for future needs.
  • Arrange shipping of property for all off-site auctions, exhibitions, and events; both international and domestic.
  • Assist with arranging incoming shipping for consignors and outgoing freight shipping for buyers as needed.
  • Prepare custom and insurance documents as needed, ensuring all requirements for shipments are met.
  • Monitor the progress of shipments and ensure all teams are apprised of the status of the shipment.
  • Determine where consolidation of property can occur and arrange consolidated shipments to maximize efficiency and minimize cost.
  • Maintain all required documentation and paperwork associated with shipments in accordance with department procedures.
  • Manage the ordering and shipment of exhibition supplies and materials.
  • Help manage the Marketing and Operations calendar to ensure scheduled exhibition logistics are updated and internal teams are aware of deadlines and scheduled pick-ups and deliveries.
  • Work with the Inventory Specialist to ensure inventory locations for traveling property is updated and accurate.
  • Coordinate the set-up and breakdown of off-site auctions, events and exhibitions with the Marketing and Operations team.
  • Assist in managing the exhibition budget, tracking expenses, and ensuring cost-effective practices.

Requirements

  • Experience in exhibition coordination, shipping, or project management role in an auction house, museum, or gallery setting is preferred but not required.
  • Demonstrated history of establishing third party and vendor relationships.
  • Strong organizational and project management skills, with a keen eye for detail.
  • Excellent communication and interpersonal skills.
  • Ability to work collaboratively in a fast-paced environment and manage multiple projects simultaneously.
