About the position

As the Event Management and Operations Coordinator at Dartmouth College, you will play a crucial role in ensuring the successful execution of varsity sports events and other athletic activities. Your primary responsibility will be to collaborate with the Athletics facilities team to manage game day operations for varsity sports, ensuring that competitions run smoothly and engage fans effectively. This position requires a proactive approach to developing and implementing policies that enhance the experience for both student-athletes and spectators during events. You will be responsible for managing relationships with third-party vendors and event staffing companies, as well as coordinating closely with head coaches to ensure that all necessary facilities and equipment are properly set up for each event. In addition to game management, you will handle on-site emergencies and assist with crowd control to maintain a safe environment during events. Your role will also extend to supporting summer sports camps, where you will work with coaches and directors to plan and schedule facilities, ensuring that all contracts and documentation are finalized in a timely manner. This multifaceted position requires excellent problem-solving skills, strong communication abilities, and the capacity to work effectively in a fast-paced environment. You will be expected to exercise good judgment and demonstrate strong planning and analytical skills to ensure the success of all athletic events and camps.

Responsibilities

  • Serve as a primary event manager for multiple home contests.
  • Direct, supervise, and coordinate all facets of athletics event management with input from supervisors while overseeing event management staff.
  • Coordinate game day staff, including officials and coaches, to ensure adequate personnel for game operations and support visiting teams.
  • Facilitate the development and implementation of policies and procedures that contribute to high-quality varsity athletics events for participants and spectators.
  • Oversee assigning, hiring, and payment of personnel necessary for game management, including game officials, announcers, clock operators, minor officials, ushers, and student workers.
  • Work with head coaches to understand home events, needs, and preferences.
  • Ensure proper facility and equipment set-up for events.
  • Coordinate with the Assistant Director for Scheduling and Event Planning to help execute special DCARD events.
  • Coordinate with event workers to ensure that their responsibilities are clear and duties are being performed properly.
  • Handle any emergencies on-site, assist with crowd control, and troubleshoot issues as they arise.
  • Manage relationships with third parties and vendors, including event staffing companies, campus police, emergency services, and rental companies.
  • Work with the varsity scheduling committee to ensure compliance with Title IX regarding practice opportunities and game times.
  • Serve as a member of the Camps and Clinics Committee to plan and schedule summer sport camps/clinics.
  • Work with the Director of Sport Operations to ensure all contracts and documentation are finalized prior to camps/clinics start date.
  • Coordinate with approximately 20 summer camp directors to identify and schedule facility needs and camp set-ups.
  • Identify work requirements and oversee representatives regarding special needs.
  • Develop, implement, and enforce observance of operating policies and procedures.

Requirements

  • Bachelor's degree or equivalent combination of education and experience.
  • At least two years of college athletics experience.
  • Excellent problem-solving skills.
  • Excellent verbal and written communication skills for constructive interaction with associates, assistants, coaches, department staff, student-athletes, and administrators.
  • Ability to exercise good judgment and work effectively in a fast-paced and complex work environment.
  • Strong planning and analytical skills.
