About the position

The Event Manager - Congress will be a key member of the Pharma Operations team, responsible for overseeing logistics and operations for various congresses. This role requires strong project management skills, attention to detail, and the ability to manage multiple events simultaneously, often working independently or leading strategic teams. The Event Manager will collaborate with internal teams to ensure deliverables are met, budgets are balanced, and client needs are anticipated, while also managing relationships with third-party suppliers.

Responsibilities

  • Oversee logistics and operations for various congresses.
  • Provide thought leadership and project management for events.
  • Collaborate with internal teams to meet deliverables and budgets.
  • Engage with multiple vendors including convention facilities and media partners.
  • Support US and global Key Opinion Leaders (KOLs) and Healthcare Professionals (HCPs).
  • Travel on-site to manage event requirements and staff for high-profile events.
  • Ensure compliance with regulatory and client-defined guidelines for events.
  • Manage weekly team calls, including note-taking and agenda delivery.
  • Maintain records of financial payments and detailed descriptions.
  • Build and maintain positive relationships with Congress contacts.

Requirements

  • Bachelor's degree in Business, Hospitality, Liberal Arts, Public Relations, or Communications.
  • Three years of experience in event management or two years in ITA Group's Event Management division.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple projects and prioritize workload.
  • Effective communication and relationship-building skills.
  • Proficiency in Microsoft PowerPoint, Word, and Excel.
  • Knowledge of financial principles and experience in budgeting.
  • Experience in negotiations in a business environment.
  • Excellent interpersonal skills and ability to work in a team.

Nice-to-haves

  • Knowledge of Pharmaceutical compliance and experience in planning pharmaceutical meetings.
  • Experience in customer service in a service-related industry.
