About the position

The Event Manager position at Grambling State University is a pivotal role responsible for overseeing Guest Services and Security functions. This position entails managing a team of supervisors and staff to ensure that every guest, promoter, sponsor, vendor, and event participant receives exceptional service and safety. The Event Manager will work closely with the Account Manager and Business Services Manager to prepare for events, manage day-of operations, and ensure that all aspects of the event run smoothly. This includes the distribution and maintenance of equipment such as radios and scanners, as well as managing uniform expectations and payroll processing. The Event Manager will also be responsible for developing employee manuals and event-day information tools, evaluating employee performance, and coordinating training for event-day staff. In addition to these responsibilities, the Event Manager will play a crucial role in identifying risks to employees and company assets, ensuring a safe and secure environment for all events. The position requires a proactive approach to problem-solving and the ability to communicate effectively with clients and staff. The Event Manager will also assist in the annual budget development and must be prepared to act as the Account Manager in their absence. This role demands a high level of professionalism, ethics, and organizational support, as well as the ability to adapt to the dynamic nature of event management.

Responsibilities

  • Assist Account Manager in management and onboarding of new staff members
  • Oversee the maintenance and distribution of radios, scanners, and other equipment
  • Prepare materials for event day supervisors for all events at Grambling State
  • Supervise event-day operations at all Grambling State Events
  • Serve as the account lead on specific days when the Account Manager is not present
  • Manage uniform expectations and oversee wardrobe inventories
  • Manage time processing including payroll and billing in coordination with the Business Services Manager
  • Develop and maintain employee manuals and event-day information tools
  • Dissect all information following an event, including customer complaints and facility work orders
  • Work with Ticketmaster and CEIA regarding equipment needs
  • Address game-day issues, repairs, and updates
  • Evaluate employee data and EPI's on a monthly basis
  • Coordinate, distribute, and train event day staff
  • Establish protocol for event operations
  • Ensure storage, maintenance, and upkeep of equipment
  • Coordinate and communicate during events to create meaningful experiences
  • Assist in annual budget development
  • Enforce all Andy Frain Services policies and procedures
  • Intervene in resolving personnel problems as directed by the Account Manager
  • Ensure efficient and compliant operations of all accounts within the operational area
  • Identify risks to employees and company assets
  • Guide staff in strengthening competencies and meeting client needs
  • Build staffing requirements in workforce management software
  • Act as a resource to clients, staff, and supervisors in operations
  • Meet regularly with clients and Account Manager to address security and service matters
  • Submit equipment and supply requests to Account Manager
  • Respond in a timely manner to all communications
  • Work with other management to ensure staffing is distributed equally among sites
  • Support other departments or offsite locations as assigned

Requirements

  • Associates Degree or equivalent experience
  • 2 years or more event services experience in a stadium or arena management, sports and entertainment facility, or other hospitality-oriented business
  • Ability to obtain FEMA Certification in 100b, 200b, 700a, 800b, 901 and IAVM Training Crowd Manager
  • Knowledge of industry best practices
  • Knowledge of NBA requirements preferred
  • Ability and willingness to work an event-driven schedule including weekends, evenings, and some holiday hours
  • Experience in a high-volume, service-driven environment
  • Ability to speak in front of audiences ranging from less than 10 to 600+ people
  • Demonstrated ability to handle sensitive and confidential information
  • Strong leadership and personnel management experience
  • Demonstrated ability to be creative and seek proactive solutions to problems
  • Proficient in the operation of various PC applications including Word, Excel, and Outlook
  • Highly developed attention to detail in producing accurate materials and reports
  • Proven professional, tactful, and diplomatic communication style
  • Well organized and able to handle multiple projects at one time
  • Knowledge of accounting and finance functions; experience with budget oversight
  • Ability to effectively interact with guests, visitors, and staff at all levels
  • Knowledge of and compliance with Federal and State OSHA regulations
