About the position

The Event Manager at Rescue Agency is a temporary, full-time position focused on producing a large education-focused conference, specifically the biennial Agents of Change Summit. This role is crucial in ensuring a seamless experience for all attendees, from registration through to on-site attendance. The Event Manager will be the primary point of contact for attendees and vendors, addressing questions, concerns, and escalations throughout the event. The ideal candidate will have a passion for behavior change and a proven track record in managing large-scale events, demonstrating exceptional communication skills with executive teams and high-profile keynote speakers. In this role, the Event Manager will lead the production of the conference, managing various vendors including venues, caterers, audio/visual teams, and decorators. They will oversee on-site vendor management and proactively manage planning tools, generating and maintaining necessary documents such as schedules and room grids. Coordination of breakout rooms and speaker schedules, along with conducting pre-conference site visits, will also be part of the responsibilities. The Event Manager will work closely with the event and executive teams to manage budget and expense tracking, lead communication within the planning team, and conduct weekly planning meetings. Additionally, they will coordinate with the marketing team to ensure timely and budget-compliant printing and procurement of all conference materials and collateral. The position requires a commitment of 30 hours per week from September to November, increasing to 40 hours per week from December through March 14. The Event Manager will be expected to exercise discretion and independent judgment in matters of significance and perform other duties as required. This role is remote but may require travel for at least one pre-event site visit to San Diego and attendance at the Summit itself.

Responsibilities

  • Lead production of the biennial Agents of Change Summit, managing potential issues and providing clear directions.
  • Manage conference vendors including venues, caterers, A/V, and decorators, overseeing on-site vendor management.
  • Proactively manage planning tools, generating and maintaining necessary documents such as schedules and room grids.
  • Coordinate breakout rooms and speaker schedules, conducting pre-conference site visits as needed.
  • Work with the event and executive team to manage budget and expense tracking, leading communication within the planning team.
  • Conduct weekly planning meetings to ensure all aspects of the event are on track.
  • Coordinate with the marketing team to ensure on-time and on-budget printing and procurement of all conference materials and collateral.
  • Exercise discretion and independent judgment with respect to matters of significance.
  • Perform other duties as required.

Requirements

  • Bachelor's Degree and 5 years of relevant experience OR 10 years of relevant experience.
  • Experience producing a conference or large corporate event with 500+ attendees.
  • Experience overseeing a main stage Run of Show while working with an outside AV team.
  • Experience supervising a large team of on-site staff for a seamless event experience.
  • Proven project and team management experience.
  • Proven ability to work across multiple teams (video, event, executive, vendors) in the production of a final work product.
  • Proven ability to stay on the cutting edge of the event marketing domain.
