About the position

The Bipartisan Policy Center (BPC) is seeking an Event Manager to join its External Relations team in producing a robust calendar of in-person, hybrid, and virtual event experiences. Located in Washington, DC, the Event Manager will focus on event logistics to support the BPC mission of fostering bipartisanship by combining the best ideas from both parties to promote health, security, and opportunity for all Americans. This role requires an individual with both logistical expertise and hands-on event production skills to ensure successful event execution and a memorable experience for attendees. The Event Manager will independently organize and execute public and private events for BPC's policy projects, which includes venue selection, contracting, logistics, and production. The role involves researching venues, managing relationships with vendors, and serving as a point of contact for BPC. The Event Manager will also create and execute staffing plans for events, lead pre-event briefings, and design preparation materials for staff. Drafting logistical documents such as run of show, load-in schedules, emergency preparedness plans, and seating charts is also a key responsibility. Onsite execution of events is a critical aspect of this role, which includes overseeing set-up, tear-down, registration, and vendor crews, as well as managing photographers, video crews, and staging crews during events. Post-event follow-up is essential, including completing forms and budgets, recording event data, and processing final invoice payments. The Event Manager will maintain a high standard of event execution, stay updated on industry trends, and work to consistently improve the overall quality of BPC events. In addition to event logistics, the Event Manager will engage in stakeholder relationship management, working with various teams to strategize and conceptualize BPC-wide special events. This includes advising policy teams on best practices, collaborating with project area leads to design programming, and interacting directly with VIPs such as BPC leadership and elected officials. The role also involves collaborating with the Digital team to maintain accurate event-related information on the BPC website and incorporating Capitol Hill and donor audiences when applicable. The Event Manager will also be responsible for event marketing and special projects, collaborating with Digital and Social Marketing teams on event-related marketing efforts, and developing email marketing strategies for events.

Responsibilities

  • Independently organize and execute public and private events, in-person, hybrid and virtual, for BPC's policy projects, including venue selection, contracting, logistics and production.
  • Research venues and manage relationships with vendors, serving as a BPC point of contact.
  • Create and execute staffing plans for events, including leading pre-event briefings and designing prep materials for staff.
  • Draft logistical documents including run of show, load-in schedules, emergency preparedness plans, logistics memos, seating charts, etc.
  • Manage onsite execution of events including set-up, tear-down, registration and vendor crews; oversee photographers, video crews and staging crews in preparation for and during events.
  • Complete event follow-up including completing post-event forms and budgets, recording all pertinent event data, and final invoice payments.
  • Collect and review post-event data and participate in post-event debriefs with event stakeholders.
  • Maintain high standard of event execution, stay up to date on industry trends and innovations, and work to consistently improve the overall quality of BPC events.
  • Work with Communications, Development and BPC Action teams to strategize and conceptualize BPC-wide special events and new BPC events, including topics and participants, which are compelling, timely and newsworthy.
  • Advise policy teams on event best practices during event planning stage.
  • Collaborate with project area leads to design programming including, determining event needs and budget; assisting with speaker management; developing pre-event briefings and day of stage management.
  • Interact directly with VIPs including BPC leadership, elected officials, and corporate executives.
  • Collaborate with Digital team to maintain accurate event related information on the BPC website.
  • Collaborate with legislative and development teams to incorporate Capitol Hill and donor audiences when applicable.
  • Collaborate with Digital and Social Marketing teams on event-related marketing efforts.
  • Develop event email marketing strategy, including drafting and sending email marketing materials (invitations, reminders, and post-event surveys) and work with program staff to build invitation lists.

Requirements

  • A minimum of 5 years relevant experience in event/meeting planning including in-person, hybrid and virtual events.
  • Familiarity with event technology and production.
  • Ability to manage multiple tasks with various deadlines; communicate effectively; and work across multiple teams.
  • Ability to establish priorities, work independently, and proceed with objectives autonomously.
  • High degree of attention to detail and ability to respond effectively to changing circumstances.
  • Ability to interact comfortably with elected officials, corporate executives and other VIPs.
  • Broad understanding of and interest in current policy issues.
  • Experience using database software, Salesforce experience preferred.
  • Strong organizational and people skills.
  • Ability to work event-based hours including occasional nights and weekends, as needed.
