About the position

ASM, the leader in privately managed public assembly facilities, is seeking an Event Manager for an immediate opening in Oklahoma City. This role is pivotal in controlling and monitoring the customer contact aspect and front-of-house division of the facility. The Event Manager will be responsible for planning, monitoring, directing, and managing event coordination, security, crowd control, exhibitor services, and outside contractor service functions, while also enforcing fire marshal regulations. The position requires a proactive approach to ensure successful event execution and a positive experience for all stakeholders involved. The Event Manager will supervise Event Coordinators, providing training on successful business practices and fostering positive relationships with clients, co-workers, and other business entities. Working closely with the Senior Event Manager and Senior Director of Events, the Event Manager will help develop new policies and procedures for event management. This includes planning, organizing, and managing events at the Paycom Center, home of the Oklahoma City Thunder, and developing assignment schedules for staffing requirements to ensure proper event presentation. In addition to overseeing emergency and medical personnel, crowd control, ushers, ticket takers, and police officers, the Event Manager will coordinate outside service needs with food and beverage contractors, decorators, and other vendors. The role also involves assisting with special requests for front-of-house arrangements, coordinating media entry with the marketing department, and preparing facility budgets and estimated revenues. The Event Manager will maintain a positive public image and generate good relations with artists, clients, exhibitors, patrons, and staff, while also making immediate decisions in emergency situations. This position requires working irregular hours, including nights, weekends, and holidays, to ensure proper supervision of all events and activities scheduled in the facility.

Responsibilities

  • Supervise Event Coordinators and train them on successful and appropriate business practices.
  • Develop and maintain positive and impactful relationships with clients, co-workers, and other business entities.
  • Work alongside the Senior Event Manager and Senior Director of Events to develop new policies and procedures for event management.
  • Ensure successful event coordination activities by supervising and training Event Coordinators.
  • Plan, organize, and manage events at Paycom Center, Home of the Oklahoma City Thunder.
  • Develop assignment schedules for all staffing requirements for the proper presentation of events.
  • Supervise emergency/medical personnel, crowd control, ushers/ticket takers, and Police Officers as well as contract employees for events.
  • Research, review and recommend equipment, materials and supplies required in providing event services and planning.
  • Coordinate outside service needs with food and beverage contractor, decorators, or other vendors.
  • Assist with special needs or requests for all front-of-house arrangements such as opening of house, late seating, clearing aisles, etc.
  • Coordinate with marketing department all media entry into the building before, during or immediately following events.
  • Assist in preparation of facility budget and estimated revenues.
  • File all personal injury and accident reports that may occur during events to management office.
  • Maintain the proper image and generate positive public relations with artists, clients, exhibitors, patrons, and staff.
  • Make immediate decisions and communicate with all users of the facility in an emergency situation.
  • Communicate with clients to obtain necessary technical requirements and other event related information.
  • Inspect buildings and specific meeting areas to evaluate suitability for occupancy, considering such factors as air circulation, lighting, location, room size and specific event requirements.
  • Ensure that the equipment, physical set-up, and personnel provided meet the requirements of the event and the client's contractual agreement.
  • Monitor performance of front of house staff including guest services, security, medical and event staff.
  • Ensure all pertinent information is obtained, compiled in event files, and distributed to proper facility departments.
  • Manage the preparation for upcoming events.
  • Coordinate and satisfy the requirements of multiple events occurring simultaneously.
  • Respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.
  • Engage in decisions related to crowd management in a prompt and decisive manner during crisis situations.
  • Work irregular schedule to ensure proper supervision of all events and activities scheduled in the facility, as required.

Requirements

  • Bachelor's degree from an accredited four-year college or university.
  • Five (5) years related experience and/or training, or an equivalent combination of education and experience.
  • A minimum of three (3) years of experience in event management or convention services in a hotel or multi-purpose public assembly facility is preferred.
  • Licensed and insured to operate a motor vehicle in the United States.
  • Knowledge of public assembly facility management, customer services practices and exhibitor services practices.
  • Demonstrate knowledge in industry terminology, facility capabilities, operational procedures, event coordination and event-related services.
  • Demonstrate the principles and techniques of supervision, training, budgeting, and other administrative duties.
  • Ability to handle conflict, make common sense decisions and exercise proper action during high tension and stressful situations.
  • Ability to follow oral and written instructions and communicate effectively with others in both oral and written form.
  • Ability to organize and prioritize work to meet deadlines.
  • Ability to work effectively under pressure and/or stringent schedule and produce accurate results.
  • Ability to work independently, exercising judgment and initiative.
  • Knowledge of building operations, maintenance, practices, and safety requirements.

Nice-to-haves

  • Experience in AutoCAD or other graphics program preferred.
