About the position

As an Event Manager at Loews Ventana Canyon Resort, you will play a pivotal role in ensuring the seamless execution of conventions and events. Your primary responsibility will be to receive convention files from the Sales Department, meticulously reviewing them for accuracy and completeness. Upon receipt of these files, you will initiate written communication with clients, followed by a verbal follow-up introduction one week later. This proactive approach will help establish a strong rapport with clients, ensuring they feel valued and informed throughout the planning process. In addition to client communication, you will assist the Director of Conference Management and Catering with menu development as needed, ensuring that all culinary offerings meet the expectations of our guests. Maintaining regular contact with clients is essential, as it allows you to develop lasting relationships and understand their needs better. You will outline all details of convention events through Banquet Event Orders and other reports, providing timely information to various hotel departments regarding set-up, purchasing, and scheduling needs. Your role will also involve sending Banquet Event Orders to clients for their review, ensuring that all details are accurate and agreed upon. You will be responsible for receiving rooming lists on time and monitoring reservation receipt and entry, as well as group pickup. Preparing group resumes that contain comprehensive details of all reservations, billing, and Banquet Event Order information will be a key part of your responsibilities. To maintain our competitive edge and ensure guest satisfaction, you will evaluate changes in guest needs, the hotel's guest mix, and industry trends, recommending appropriate product/service and operational changes. You will distribute Banquet Event Orders and group resumes to the relevant hotel departments to facilitate efficient purchasing, planning, and employee scheduling. Meeting specified monthly and annual booking goals, as established during the annual budgeting process, will be crucial to your success in this role. Additionally, you will prepare and send thank you letters and Catering and Conference Management Evaluation Forms to assigned groups, reinforcing our commitment to exceptional service. You will also work on special projects as assigned by the Director of Conference Management and Catering and attend all applicable hotel meetings, including department, staff, food and beverage, sales, and Banquet Event Order meetings. Building strong relationships with other hotel departments, employees, and outside agencies and vendors will be essential to your role, ensuring a collaborative and efficient working environment.

Responsibilities

  • Sends all Banquet Event Orders to clients for their review.

Requirements

  • Mid-level experience in event management or related field.
  • Strong communication skills, both written and verbal.
  • Ability to develop and maintain client relationships.
  • Experience in preparing Banquet Event Orders and group resumes.
  • Knowledge of hotel operations and event planning processes.
