About the position

The Event Manager is responsible for planning, organizing, and executing memorable community-wide events that enhance the experience for residents and the extended community. This role requires a strong blend of communication, negotiation, and organizational skills, along with a creative mindset to produce successful events. The Event Manager will assist in securing operational needs for events, including communication, equipment, event rentals, and electrical requirements. They will manage community events from conception through execution, ensuring that all deadlines are met and that strategic plans are developed to effectively broadcast events to target audiences. In addition to event planning, the Event Manager will oversee event site management, which includes coordinating production staff, security, inspectors, guest assistance, sponsors, and vendors. They will also manage and maintain relationships with both new and existing vendors, ensuring compliance and effective communication. Budget management is a critical aspect of this role, as the Event Manager will be responsible for ensuring cost-effectiveness and adherence to financial guidelines while developing plans to generate event revenue. Sponsorship management is another key responsibility, where the Event Manager will secure annual and event sponsorships to meet the needs of the City and its programming requirements. This includes collaborating with various departments to support sponsorship sales efforts, maintaining knowledge of the sponsorship landscape, and cultivating relationships with potential sponsors. The Event Manager will negotiate sponsorship agreements and coordinate deliverables to ensure visibility and value for sponsors. Collaboration with internal teams is essential, as the Event Manager will work closely with communication, marketing, administration, and operations teams to align event strategies with overall business objectives. Providing excellent customer service and ensuring safety regulations are adhered to are also critical components of this role. The Event Manager must be prepared to work flexible hours, including late nights, early mornings, weekends, and holidays, as needed for event setups and breakdowns. In emergencies, all employees are considered essential and may be required to perform duties outside of their normal job description.

Responsibilities

  • Plan, organize, and execute community-wide events.
  • Assist with securing event operational needs including communication, equipment, event-rental needs, and electrical requirements.
  • Manage community events from idea through execution, ensuring all deadlines are met.
  • Develop strategic plans to broadcast events and target appropriate audiences.
  • Oversee event site management, including production staff, security, inspectors, guest assistance, sponsors, and vendors.
  • Manage and maintain vendor relationships for all City events, ensuring compliance and effective communication.
  • Manage event budgets, ensuring cost-effectiveness and adherence to financial guidelines.
  • Secure annual and event sponsorships to meet the needs of the City and programming requirements.
  • Collaborate with departments to support sponsorship sales efforts and track commitment deadlines.
  • Identify and cultivate relationships with potential sponsors, developing tailored sponsorship packages and proposals.
  • Negotiate sponsorship agreements and coordinate sponsor deliverables.
  • Provide post-event reports and analysis to key City staff and sponsors.
  • Collaborate with internal teams to align event strategies with business objectives.
  • Provide excellent customer service and resolve problems for internal and external customers.
  • Meet tight deadlines while balancing multiple projects in a fast-paced environment.
  • Identify and report hazards, ensuring safety regulations are adhered to.
  • Drive to and from various City locations and perform additional duties as assigned.

Requirements

  • Bachelor's degree in Event Planning or a related field, or equivalent combination of training, education, and experience.
  • Four years of event planning/management work experience.
  • Two years of recent experience with fundraising, sponsorships, and public relations.
  • One year of proficient technical aptitude in Microsoft Office Suite and professional social media engagement.
  • Effective and professional oral and written communication skills, including presentation preparation.
  • Valid driver's license; must obtain Florida driver's license within thirty days of employment.

Nice-to-haves

  • Master's degree in Hospitality, Event Planning, or related field.
  • Certified Special Events Professional (CSEP).
  • Complete Crowd Management Training within three months of employment.
